Job description

We are looking to add to our expanding operations team. AmpThink provides a wide range of services to the most impressive venues around the world, which calls for a wide range of skills and personalities. The ideal candidate will be comfortable working within a collaborative team of engineers and creatives alike. The primary focus is keeping our projects on track and organized from an operations perspective. This role's main function is to support our sales, operations, and engineering teams from project kick-off to completion.

This includes but is not limited to:

  • Procure products or services in support of our needs on or off site
  • Ensure products or services are delivered on time
  • Maintain active communication with stakeholders on job and purchase status
  • Allocate expenses appropriately to projects
  • Provide reports from our accounting system as needed
  • Store all relevant documents properly
  • Track project milestones to support procurement and invoicing
  • Invoice for delivered products or rendered services
  • Manage your own time effectively and allocate it to the appropriate project

Job Requirements:

  • A detail-oriented personality with strong problem-solving skills
  • The ability to think critically
  • Ability to operate in a fast-paced, collaborative, team-oriented environment
  • Interest in developing, refining, and implementing quality business processes
  • Ability to build and maintain strong relationships inside and outside the organization
  • Excellent communication and organizational skills
  • Experience with Microsoft 365

The ideal candidate will possess:

  • Basic accounting knowledge
  • Prior experience as a project coordinator is a plus
  • Familiarity with IT infrastructure is a plus

CX Agents are expected to:

  • Ensure jobs are accurately captured and tracked through each engagement phase using the company's ERP system
  • Ensure raw materials are available to meet production schedules
  • Schedule work efficiently across all phases of delivery, design, procurement, fabrication, assembly, and QC
  • Communicate lead times and delivery dates proactively to customers, review production schedules, work orders, and staffing requirements
  • Coordinate with vendors, co-workers, and customers to resolve issues and prevent delays
  • Manage shipping and logistics with external parties and customers
  • Support Sales team by participating in calls, recording notes, tracking milestones, and maintaining CRM use
  • Support external clients through meetings, tracking project milestones, and providing customer service
  • Track project milestones, maintain invoice schedules, and process invoicing
  • Reconcile inventory, produce job cost reports, and coordinate staging and shipping
  • Develop knowledge of accounts and OEM products/services
  • Use reseller tools and applications for technical configurations
  • Provide detailed quotes and order management reports
  • Develop customer-centric invoicing reports

The candidate should also:

  • Possess prior experience tracking project milestones
  • Hold a Bachelor’s degree or equivalent experience
  • Have working knowledge of basic accounting functions
  • Experience in account management, project coordination, or inside sales
  • Experience in construction or telecommunications resale is a plus
