Complete Supply, Inc. | DFW Area | In-Office Position
This is an in-office role. Remote and hybrid arrangements are NOT available.
About Complete Supply, Inc:

Complete Supply is DFW's most valued provider of commercial cleaning chemicals, commercial cleaning equipment, and facility care training. We have a family-oriented culture and a promote-from-within philosophy. We work hard, collaborate closely, and invest in people who invest in themselves.

About the Role:

We are looking for a detail-oriented, growth-minded Project Coordinator to join our Bid Department. This person will work closely with sales, sales support, and management to support the full lifecycle of bids, contracts, and buying group relationships. If you are someone who is actively building your skills and looking to grow in a fast-paced environment, we want to hear from you.

This Role Would Be a Great Fit If You:
  • Are a paperwork guru who finds satisfaction in getting every form, signature, and attachment exactly right
  • Read the fine print and catch the details others skim past
  • Enjoy digging into data and making sense of pricing and contract details
  • Are highly organized and can prioritize competing demands
  • Plan ahead, work ahead, and consistently meet hard deadlines, preferably early
  • Thrive in a collaborative, team-first environment where everyone pitches in
  • Like variety; no two days look exactly the same
  • Try to find the answer before asking the question
  • Want to grow with a company, not just work for one
  • Show up, follow through, and take ownership of your work
  • Are a self-starter who doesn't need to be told what to do next
  • Stay motivated and focused without someone looking over your shoulder
What You'll Do:
  • Validate, schedule, and manage incoming bid requests
  • Analyze bid feasibility including pricing margins, multi-year contract risks, and regional logistics
  • Support vendor negotiation and selection appropriate to bid terms
  • Manage customer contracts and pricing margins; renegotiate when necessary
  • Monitor contracts for renewal timelines and future bid opportunities
  • Provide product information including spec sheets and detailed category knowledge
  • Support sales and sales support on inquiries related to current bids and contracts
  • Organize and respond to customer and buying group reporting needs
  • Maintain daily business-to-business communications with internal and external customers
  • Build and maintain customer loyalty through exceptional service
  • Work within CRM and eProcurement platforms including Ionwave, Bonfire, and Step 1 ERP
What We're Looking For:
  • Fast, accurate typing skills (required)
  • Strong Excel skills (required)
  • High-volume data entry with a low error rate
  • Strong attention to detail
  • Ability to analyze detailed documents and extract key requirements
  • Collaborative team player who communicates proactively and works well across departments
  • Sharp judgment and the ability to manage multiple priorities under pressure
  • Growth mindset; actively learning
  • Willingness to change and grow with the company and the role
It Would Be Awesome If You Had:
  • Experience in distribution, procurement, bid, or proposal environments
  • Experience with public sector bids (school districts, cities, cooperatives)
  • Experience using AI tools to streamline and automate workflows
  • A professional certification in project management, procurement, proposals, or Microsoft Office, or are actively working toward one
  • Power Query knowledge or active pursuit
What We Offer:
  • Health insurance
  • Paid time off
  • Company match after one year
