Job summary

Iapetus Infrastructure Services in Houston, TX seeks a Proposal Coordinator to manage bid submissions. You will work with the Director of Business Development and operations teams to convert RFPs into compliant, on-time proposals, coordinating inputs across departments.

Qualifications

• 2–5 years of experience in proposal coordination, business development support, or technical writing.
• Strong writing and editing skills with close attention to detail.
• Proficiency in Microsoft Word, Excel, and PowerPoint; Adobe InDesign a plus.
• Hands-on experience using AI systems in writing or proposal work.
• Ability to manage multiple deadlines at once and stay calm under time pressure.
• Experience with utility, energy, construction, or government contracting is a strong plus.

Responsibilities

• Track incoming RFPs, RFQs, and bid opportunities, and maintain the proposal calendar.
• Read solicitations closely and build compliance checklists and response outlines.
• Coordinate input from operations, safety, finance, and leadership, and keep contributors on schedule.
• Write, edit, and format proposal sections, resumes, past performance, and company qualifications.
• Maintain a library of reusable content, templates, and certifications.
• Prepare required forms, pricing sheets, and supplier diversity documents.
• Handle final quality checks and submission through procurement portals.
• Use AI tools to speed up research, first drafts, compliance checks, and content reuse.
• Support sales materials, capability statements, and presentations as needed.

The Role

We're looking for a Proposal Coordinator to help manage our bid and proposal work. You'll work directly with the Director of Business Development and our operations teams to turn RFPs into clear, compliant, on-time submissions. This role suits someone who is organized, writes well, and likes keeping a lot of moving pieces on track. The role will report to our Houston office located in the Galleria area.
