  • Basic computer skills, including email, Microsoft Excel, Word, and general office software.
  • Ability to review paperwork, compare quantities, and identify discrepancies.
  • Basic math skills and ability to work with quantities, loads, tickets, and invoices.
  • Ability to manage multiple projects, schedules, and priorities at the same time.

Responsibilities

  • Schedule and coordinate trucking services with regular trucking companies.
  • Communicate daily with trucking companies, dispatchers, drivers, dirt pits, and project personnel.
  • Coordinate dirt, rock, and other material pickups and deliveries to keep projects moving efficiently.
  • Work with dirt pits and material suppliers to coordinate availability, loading, and deliveries.
  • Collect, organize, and verify trucking tickets, dirt tickets, rock tickets, and other delivery documentation.
  • Reconcile material and trucking tickets against vendor invoices to ensure quantities, loads, dates, and pricing are accurate.
  • Identify and resolve discrepancies between tickets, trucking records, and invoices.
  • Maintain organized electronic and paper records for trucking and material transactions.
  • Enter and maintain information in spreadsheets and computer systems.
  • Assist with general project coordination, administrative duties, and documentation as needed.
  • Communicate changes in schedules, delivery locations, quantities, and project needs to the appropriate parties.
  • Help ensure trucking and material records are accurate and up to date.

Position Overview

We are looking for a dependable and organized Project Coordinator with trucking and construction industry experience to help coordinate trucking operations, material deliveries, and project documentation.

This position will work closely with our trucking companies, dirt pits, project teams, and accounting to make sure trucking is scheduled efficiently and that material tickets and invoices are accurate and properly reconciled.

The ideal candidate is organized, detail-oriented, comfortable working with trucking companies and drivers, and has a good understanding of construction materials and trucking operations.

Key Responsibilities

Schedule and coordinate trucking services with the handful of trucking companies we regularly work with.

Communicate daily with trucking companies, dispatchers, drivers, dirt pits, and project personnel.

Coordinate dirt, rock, and other material pickups and deliveries to keep projects moving efficiently.

Work with dirt pits and material suppliers to coordinate availability, loading, and deliveries.

Collect, organize, and verify trucking tickets, dirt tickets, rock tickets, and other delivery documentation.

Reconcile material and trucking tickets against vendor invoices to ensure quantities, loads, dates, and pricing are accurate.

Identify and resolve discrepancies between tickets, trucking records, and invoices.
