Overview:
The Project Coordinator for Professional Services will be responsible for provisioning new projects, supporting project scheduling, and keeping stakeholders informed with regular updates on progress and changes. This role helps ensure that initiatives stay aligned with company objectives and comply with established processes and contract requirements, working closely with the assigned Project Manager. You will also support organizational workflows such as scheduling and documentation management using our PM/PSA platform.
Responsibilities:
Project Lifecycle Management
- Guide projects from initiation through completion, including kickoff sessions, execution phases, and post-project evaluations.
- Support the Project Manager in translating the signed statement of work into a project plan, assisting with scheduling and timeline setup.
- Build detailed launch strategies and schedules for customer engagements, coordinating resources to meet key objectives.
- Provision new projects across relevant systems (our PM/PSA platform), ensuring accurate setup and readiness ahead of kickoff.
Stakeholder Engagement & Alignment
- Act as the central communication link between clients, internal teams, and external partners.
- Facilitate alignment on priorities and decisions to ensure smooth progress across all parties involved.
- Maintain strong working relationships with clients and vendors through consistent and transparent communication.
- Notify clients directly of anticipated project start dates and key milestones, keeping them informed from kickoff onward.
Project Delivery & Performance Oversight
- Support daily project execution, flagging issues to the Project Manager to help avoid disruptions.
- Track partner contributions—including time, tasks, and deliverables—against established goals.
- Spot recurring inefficiencies or bottlenecks in project delivery and flag them to the Project Manager for resolution.
Documentation & Reporting
- Record and manage project escalations, providing clear updates to leadership.
- Maintain accurate documentation of partner efforts, time allocations, and project hours for reconciliation.
Process & SOP Development
- Observe, validate, and create standard operating procedures (SOPs) and supporting documentation for project and delivery workflows.
- Ensure ongoing compliance with established procedures, flagging and resolving gaps as processes evolve.
Schedule & Timeline Management
- Assist in creating and maintaining project schedules, supporting the Project Manager in keeping activities on track.
- Monitor milestones and flag potential risks to the Project Manager that could delay delivery.
- Coordinate closely with internal teams and stakeholders to keep schedules aligned and on track across concurrent projects.
Required Skills & Qualifications (must-haves):
- Bachelor's degree or equivalent work experience.
- 5+ years of project management or coordinator experience (preferably in a cloud solutions environment).
- Proficient in managing multiple projects simultaneously while delivering high-quality, white-glove service.
- Familiarity with Waterfall, Agile, and other project management methodologies.
- Skilled in effectively communicating technical information to stakeholders, clients, and non-technical audiences.
- Excellent organizational, communication, and problem-solving skills.
- Knowledge of relevant software, such as Microsoft Office 365, Salesforce, and PSA/project management tools.
- Adapts well to fast-paced, dynamic environments with shifting priorities.
- Ability to meet deadlines and work under pressure independently, as well as in a team setting.
- Must demonstrate an advanced level of computer skills, including Microsoft Word and Excel.
Preferred Skills & Qualifications (nice-to-haves):
- Previous experience as a technical project manager within the Microsoft cloud solutions realm. Project management certifications such as CAPM, PMP, Project +, or equivalent are preferred.
- Strong analytical and problem-solving skills, proactive in identifying and addressing issues.
- An interest in participating in technical discussions and learning from team members.
- Commitment to continuous learning and staying updated on cloud computing and Microsoft cloud solutions.

- Hours: 6:00 am to 3:00 pm PT OR 7:00 am to 4:00 pm PT
- Base Salary Range: $65K - $75K (*DOE)
