Qualifications

  • Bachelor’s degree in Marketing, Communications, Business, or a related field.
  • 7–10 years of project, program, or production management experience.
  • At least 3 years running content, creative, or editorial operations in a marketing environment.
  • Demonstrated ownership of an editorial or content calendar operating at pace across multiple channels, with accountability for on‑time delivery and cross‑functional coordination.
  • Hands‑on Jira experience, including intake queue management, service desk configuration, and workflow administration.
  • Proven ability to coordinate external agencies and vendors against deliverable schedules, SLAs, and reporting commitments.
  • Strong organizational judgment and the ability to sequence competing priorities independently, without requiring escalation on every trade‑off decision.
  • Demonstrated comfort holding senior peers and subject‑matter experts accountable to deadlines and process standards in a professional, relationship‑preserving manner.

Responsibilities

  • Own the editorial calendar end-to-end, with start dates, owners, and current status maintained in real time.
  • Run the operating cadence across content workstreams including product, solutions, web content, thought leadership, events, and reputation management.
  • Coordinate SME review and approval processes to avoid bottlenecks.
  • Own accountability across all Jira tasks and the marketing inbound requests service desk queue; triaging intake, setting SLAs, and maintaining Jira‑SharePoint sync.
  • Design and document the intake‑to‑publish workflow with clearly defined handoff points and SLAs.
  • Identify and surface workflow bottlenecks and bring recommendations to the Head of Demand Generation.
  • Route creative and design requests across writing, design, web, and paid media; manage handoffs to prevent delays.
  • Own final review and sign‑off coordination prior to publication.
  • Maintain visibility into production capacity and flag capacity constraints.
  • Manage external partners and freelancers across content, PR, and paid media; traffic deliverables and reporting cadences.
  • Serve as the day‑to‑day point of contact for agency relationships.
  • Publish weekly status reporting across all content workstreams; produce quarterly production reporting; establish measurable benchmarks.
  • 90‑day ramp milestones including calendar audit, workflow documentation, and baselining metrics.

Overview:

TrustedTech is seeking a highly organized, operationally driven Marketing Project Manager to own the operational infrastructure for our Marketing team. This is a throughput and execution role, not a content strategy role; TrustedTech’s Marketing team already carries deep subject‑matter expertise across the Microsoft ecosystem, spanning solutions marketing, editorial, design, and events. This role provides the operational backbone that keeps it all moving.

The Marketing Project Manager owns the editorial calendar, the Jira workflow, the intake queue, creative routing, and agency traffic, ensuring that every workstream has a clear owner, a realistic timeline, and a defined status at all times. This person is accountable for on‑time delivery across all content channels and is comfortable holding senior colleagues and external partners to deadlines and process standards.

The right candidate is an operator at heart: someone who takes genuine satisfaction in a well‑run system, brings structure without bureaucracy, and understands that in a fast‑moving marketing organization, execution discipline is a competitive advantage.

Responsibilities:
Editorial Calendar & Content Operations:
  • Own the marketing content calendar end-to-end, ensuring every live item carries a confirmed start date, an assigned owner, and a current status (maintained in real time, not reconstructed at the start of each week).
  • Run the operating cadence across all content workstreams, including product and solutions content, web content, thought leadership, events, and reputation management, ensuring nothing is unassigned, overdue, or off‑brief.
  • Coordinate SME review and approval processes across relevant workstreams, ensuring subject‑matter experts are engaged at the right stage without becoming a bottleneck to delivery.
Jira & Workflow Management:
  • Own accountability across all Jira tasks and the marketing inbound requests service desk queue; triaging intake, setting and enforcing realistic SLAs, and maintaining the Jira-to-SharePoint sync so the calendar reflects the live state of the board without manual double‑entry.
  • Design and document the intake-to-publish workflow with clearly defined handoff points and SLAs at each stage, creating a repeatable process that the team can operate consistently.
  • Identify and surface workflow bottlenecks proactively, bringing structured recommendations to the Head of Demand Generation rather than waiting for issues to elevate.
Creative & Production Traffic:
  • Route creative and design requests across writing, design, web, and paid media, sequencing work against real team capacity and managing handoffs to prevent delays at transition points.
  • Own final review and sign‑off coordination prior to publication, ensuring all assets have cleared the necessary approval steps before going live.
  • Maintain visibility into production capacity across internal and external resources, flagging capacity constraints before they become delivery risks.
  • Manage external partners and freelancers across content, PR, and reputation management, and paid media; trafficking deliverables against agreed schedules and holding external parties to reporting cadences and quality standards.
  • Serve as the day‑day operational point of contact for agency relationships, escalating strategic or scope‑related issues to the appropriate internal stakeholder.
Reporting & Operational Visibility:
  • Publish weekly status reporting across all content workstreams, providing the Head of Demand Generation and relevant stakeholders with a clear, current view of what is on track, what is at risk, and what requires a decision.
  • Produce quarterly production reporting covering on‑time rate, cycle time, and throughput by channel, using that data to identify improvement opportunities and track progress against operational goals.
  • Baseline and continuously improve request‑to‑publish cycle time and on‑time publish rate, establishing measurable operational benchmarks that reflect the team’s execution health over time.

The following represent the core, ongoing outputs this role is accountable for maintaining:

  • Current Content Calendar: 100% of live items carrying a start date, an owner, and a status (maintained in real time, not reconstructed).
  • Weekly Status Reporting: Tightly managed content workstreams with clear visibility into what is on track, at risk, or blocked (eliminating delays through proactive communication).
  • Quarterly Production Reporting: On‑time rate, cycle time, and throughput by channel (delivered consistently and used to drive operational improvement).
  • A Self‑Sustaining Operations System: Jira and SharePoint connected so the content calendar maintains itself without manual double‑entry, and the team can operate from a single source of truth.
First 90 Days:

The following milestones define a successful ramp for this role:

  • Day 30: Full audit of the content calendar and Jira workflow complete. Every live item carries a start date and an assignee; stale, duplicate, and orphaned records are retired.
  • Day 60: Intake‑to‑publish workflow documented with SLAs at each stage, and weekly status reporting running consistently across all content workstreams.
  • Day 90: On‑time publish rate and request‑to‑publish cycle time baselined, with a documented improvement plan in place for both metrics.
Required Skills & Qualifications (must-haves):
  • Bachelor’s degree in Marketing, Communications, Business, or a related field.
  • 7–10 years of project, program, or production management experience.

  • Familiarity with Salesforce and CRM‑integrated content workflows, including an understanding of how marketing operations intersects with demand generation reporting.
  • PMP, Agile, Scrum, or a comparable project management certification.
