Job summary

World Electric is seeking a Project Coordinator to manage proposals, bids, and quotations in response to client requests. You will work closely with the sales, marketing, finance, and product teams to ensure content is complete, accurate, and timely.

The role requires excellent customer service, strong communication, and the ability to manage multiple bids and calendars. A team oriented environment with growth and development opportunities awaits.

Qualifications

• High School or GED required.
• Lighting experience preferred but not required.
• 1-2 years customer service experience – electrical/lighting industry preferred.

Responsibilities

• Coordinate proposals, bids, quotations or other documents for prospective clients.
• Collaborate with sales, marketing, finance, and product teams to ensure content is complete, accurate and timely.
• Maintain relationships with estimating and outside sales reps to support bids.
• Assign jobs in Eclipse to Estimators and track daily workload.
• Coordinate with coordination specialists for out-of-territory quotes.
• Follow up on open quotations with salespersons and customers to determine status.
• Communicate bid status across the projects team and with account reps.

What You’ll Do

The Project Coordinator is responsible for coordinating proposals, bids, quotations, or other documents describing organizational products and services in response to requests from prospective clients. This role requires collaboration with members of the sales, marketing, finance, or product teams to ensure content is complete, accurate, and timely. The ideal candidate will possess a high level of professional customer service, meet deadlines, work effectively in a challenging environment and be willing to go the extra mile.

You Will

• Foster and maintain excellent working relationships internally with estimating and outside sales representatives
• Assign jobs in Eclipse to Estimators.
• Keep a calendar of how many jobs each Estimator has for each day.
• Collaborate with other Coordination Specialists for “out of territory” quotes.
• Ensure effective communication throughout the projects team regarding upcoming bids.
• Manage the Commercial Projects email inbox.
• Assist with submittals and operation and maintenance manuals.
• Continually seek opportunities to increase customer satisfaction and deepen customer relationships
• Stay current with new product information and emerging technologies
• Distribute and maintain bid sheets.
• Follow‑up on open and outstanding quotations with salespersons and customers to determine status.
• Communicates with account representatives, account executives, and inside sales reps to ensure quotes and resulting orders are complete.

What You’ll Bring
