Job summary

Paul Davis is seeking a Project Coordinator to ensure projects are executed accurately, on time, and within established processes. The role emphasizes organization, discipline, and accountability in a fast-paced environment across multiple teams and stakeholders.

You will support documentation, scheduling, risk escalation, and adherence to safety and regulatory requirements, contributing to smooth project delivery and client satisfaction.

Qualifications

  • Follow structured processes and maintain accuracy.
  • 3+ years in administrative, operations, or project coordination roles.
  • Experience in restoration/construction is a plus.

Responsibilities

  • Manage project workflows aligned with company processes.
  • Maintain real-time documentation across all project files.
  • Track project progress, identify gaps, and escalate issues.
  • Coordinate schedules for teams, subcontractors, equipment, and materials.
  • Communicate consistently with internal teams, clients, vendors, and insurance partners.
  • Monitor timelines and ensure all phases meet company standards.
  • Support cost tracking and ensure documentation is complete and accurate.
  • Ensure compliance with safety, regulatory, and insurance-related requirements.
  • Follow escalation protocols for delays, discrepancies, or customer concerns.
  • Identify inefficiencies and support continuous process improvement.
  • Participate in on-call rotation and respond to after-hours needs.

What You’ll Do

You’ll play a critical role in ensuring projects are executed correctly, completely, and on time by:



  • Managing project workflows in alignment with established company processes and systems

  • Maintaining accurate, real-time documentation across all project files

  • Tracking project progress, identifying gaps, and escalating issues appropriately

  • Coordinating schedules for teams, subcontractors, equipment, and materials

  • Communicating consistently with internal teams, clients, vendors, and insurance partners

  • Supporting cost tracking and ensuring documentation is complete and accurate

  • Ensuring compliance with safety, regulatory, and insurance-related requirements

  • Following escalation protocols for delays, discrepancies, or customer concerns

  • Identifying inefficiencies and supporting continuous process improvement

  • Participating in on-call rotation and responding to after-hours needs as assigned


What You Bring


  • A strong ability to follow structured processes and systems without cutting corners

  • High attention to detail and commitment to accuracy

  • Ability to manage multiple priorities while staying organized and on track

  • Strong communication and coordination skills across multiple stakeholders

  • Experience in administrative, operations, or project coordination roles (3+ years preferred)

  • Comfort working in a fast-paced, high-accountability environment

  • Experience in restoration, construction, or similar industries is a plus
