The Role We Want You For
LJC is seeking a highly organized and detail-oriented Project Coordinator to support multi-disciplinary project teams across all phases of project delivery. This role plays a key part in maintaining project momentum by managing documentation, coordinating meetings, tracking workflows, and ensuring communication remains organized and on schedule.
You will act as a central point of coordination for project teams, helping reduce administrative burden on technical staff while ensuring accurate and timely project records.
The Specifics of the Role
- Support design project teams with day-to-day coordination and administrative tasks
- Manage and maintain project documentation, ensuring accuracy, organization, and timely updates
- Coordinate internal and external meetings, including scheduling, agenda preparation, and documentation of meeting minutes
- Track project workflows, milestones, and deliverables to ensure alignment with schedules
- Support upload and download of documents to/from client platforms
- Assist with the preparation and review of project deliverables, including drawing packages, title blocks, sheet lists, issuance logs, and specification formatting
- Support quality assurance and quality control (QA/QC) processes through checklist management, document reviews, and coordination of project reviews
- Maintain clear and consistent communication across project stakeholders
- Support project teams in managing information flow between clients, consultants, and internal departments
- Utilize project management platforms (such as Procore or Autodesk Construction Cloud) to track and manage project data
- Assist with reporting, document control, and general project support functions
- Identify opportunities to improve project workflows, templates, and document management processes.
Requirements
- 3+ years of experience in project coordination or administrative role within architecture, engineering, or construction.
- Working knowledge of the design and construction process.
- Strong organizational, time management, and documentation skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Bluebeam.
- Experience with project management platforms such as Procore or Autodesk Construction Cloud (ACC).
- Familiarity with construction administration processes, including RFIs, submittals, and meeting documentation.
- Ability to manage multiple projects simultaneously in a fast‑paced environment.
- Strong written and verbal communication skills.
- Interest to learn, adapt, and be curious.
