Job summary

Midwest Machinery, a member of the AIR Control Concepts family, is seeking a Project Coordinator in Chesterfield, MO to support and manage active projects from start to finish. You will collaborate with internal teams, manufacturers, contractors, engineers, and end users to ensure schedules, deadlines, and deliverables are met.

This exempt role offers a competitive salary range of $55-75k plus a 10% year-end bonus and a comprehensive benefits package.

  • Ability to manage multiple complex projects and deadlines.
  • Proficient in coordinating with internal teams and external partners.
  • Comfortable with limited field involvement.

Responsibilities

  • Manage active and ongoing projects, schedules, and deadlines.
  • Coordinate with team to ensure on-time delivery.
  • Liaise with manufacturers, contractors, engineers, and end users.
  • Set up project financials in Salesforce and generate POs/invoices.
  • Enter orders and manage schedules via manufacturer software.
  • Handle new equipment, labor, and reconstruction projects.
  • Oversee manufacturer warranty processes.
  • Attend manufacturer trainings and self-develop skills.
  • General office tasks as needed.
  • Assist in inventory management.
  • Travel for training opportunities.

Job Description

The Project Coordinator is responsible for supporting and managing active projects from start to finish, ensuring schedules, deadlines, and deliverables are met. This role works closely with internal team members as well as manufacturers, contractors, engineers, and end users to ensure projects are completed smoothly and on time.

Essential Duties and Responsibilities

Primary:

  • Manage active and ongoing projects, schedules, and deadlines
  • Interface with all members of our team to coordinate successfully complete projects
  • Diligently handle the relationship with our manufacturers, contractors, engineers, and end users
  • Become proficient in Salesforce and our accounting system to setup project financials, generate PO’s and invoicing of projects
  • Learn our manufacturer’s selection programs and software to be able to enter orders, look up project details, and actively manage manufacturers' and customers’ schedules
  • Manage both new equipment jobs, labor jobs, and reconstruction projects
  • Manage the manufacturer warranty process through the warranty periods of projects
  • Proactively train and self-develop skill sets needed to become proficient in the role- online and in-person manufacturer’s training.

Experience and Requirements
  • Experience working in an office‑based, computer‑focused role supporting projects or operations
  • Proven ability to manage multiple, complex projects at the same time, with a strong focus on driving outcomes and meeting deadlines
  • Experience coordinating projects primarily from an administrative standpoint, using email, phone, text, and virtual meetings to communicate and track progress
  • Comfortable working with limited field involvement, with only occasional job site visits as needed
  • Strong organizational and time‑management skills, with the ability to manage dozens of active projects simultaneously
  • Highly communicative and proactive, with a tendency towards overcommunication both internally and externally
  • Results‑driven mindset with a sense of urgency to resolve open items and push projects to completion
  • Comfortable working cross‑functionally with internal teams and external partners
  • Willingness to manage projects primarily through administrative coordination rather than hands‑on field work
  • Ability to work independently, follow up consistently, and maintain momentum on long‑running projects
