Job summary

Monarch Build is seeking a Senior Project Coordinator to provide critical operations support by handling contract administration, project controls, and project closeout for upcoming projects.

You will gather equipment resources, manage submittals and RFIs, prepare owner contracts and change orders, and help engineers and managers keep multiple projects on track while staying organized and calm under pressure.

Qualifications

  • High school diploma or GED is required.
  • Proficiency with Microsoft and Google products.
  • Experience as a Project Coordinator preferred.
  • Strong organization, facilitation, communication, and presentation skills.
  • Ability to prioritize workflow and manage multiple priorities.
  • Ability to work independently with minimal supervision.

Responsibilities

  • Support Project Engineers and Project Managers in project setup, maintenance, and close out.
  • Process, transmit and track submittals, shop drawings and RFIs.
  • Prepare, process and track contracts, change orders, subcontracts, POs, and MSAs.
  • Coordinate drawing and specification information requests.
  • Input and verify project data in ProCore.
  • Provide project-related support to field staff as needed.
  • Preconstruction-related support as requested.
  • Other duties as assigned.

Position Overview

The Senior Project Coordinator provides critical support for the operations team by handling contract

administration, project controls, project closeout, as well as gathering equipment resources and information to implement upcoming projects and other tasks necessary to execute a successful project.

The Project Coordinator should have a track record of proactively taking initiative, as appropriate, and the

ability to prioritize and handle multiple and competing priorities.

Essential Functions & Responsibilities
Project Administration
  • Support Project Engineers and Project Managers in the initial setup, ongoing maintenance and close out of projects.
  • Process, transmit and track submittals, shop drawings and Requests for Information.
  • Support Project Engineers, Project Managers and Operations Director in the preparation of Owner Contracts and Owner Change Orders.
  • Prepare, process and track Subcontracts, Purchase Orders and associated Change Orders as requested by Project Managers.
  • Prepare, process and track General Service Agreements.
  • Initial request and follow up with trade partners to obtain executed contracts, executed change orders, accurate insurance certificates and close out documents.
  • Provide support to Project Engineers, Project Managers and Superintendents as requested.
  • Prepares project specific information for Superintendents and distributes as required.
  • Coordinates requests for drawings and/or specification information.
  • Inputs and verifies project related information is uploaded to ProCore.
  • Additional project-related support as requested.
  • Preconstruction-related support as requested.
  • Other duties as assigned.

Basic Qualifications
  • High school diploma or GED is required.
  • Intermediate skill in using Microsoft and Google products.
  • Previous experience in Project Coordinator role preferred.
  • Demonstrates organization, facilitation, communication, and presentation skill.
  • Ability to prioritize workflow and organize diverse material and ability to handle multiple, competing and changing priorities; ability to perform effectively without supervision and within established time limits and ongoing deadlines.
  • Ability to interact and communicate effectively and professionally, and always provide exceptional service, both internally and externally.

Physical Requirements

While performing the duties of this position the associate is regularly required to sit and talk and hear.

The associate is frequently required to use hands to finger, handle or feel and reach with hands and arms. The associate is occasionally required to stand, walk, and drive or ride in a motor vehicle. The associate must occasionally lift and/or move up to 50 lbs.
