Job summary

Midwest Machinery in Chesterfield, MO is seeking a Project Coordinator to support and manage active projects from start to finish. You will ensure schedules, deadlines, and deliverables are met while coordinating with internal teams, manufacturers, contractors, engineers, and end users.

The ideal candidate has office-based project or operations support experience, excels at managing multiple projects with deadlines, and communicates proactively in a cross-functional environment.

Qualifications

• Experience supporting projects or operations in an office-based role.
• Proven ability to manage multiple, complex projects with deadlines.
• Experience coordinating projects administratively via email, phone, and virtual meetings.
• Comfortable with limited field involvement and occasional job-site visits.
• Strong organizational and time-management skills with proactive communication.

Responsibilities

• Interface with team members to coordinate successful project completion.
• Maintain relationships with manufacturers, contractors, engineers, and end users.
• Learn and use Salesforce and the accounting system for project finances, POs, and invoicing.
• Enter orders and track project details with manufacturers' and customers' schedules.
• Handle multiple project types including new equipment, labor, and reconstruction.
• Manage warranty processes through project lifecycles.
• Engage in ongoing training to build role proficiency.

Job Description:
The Project Coordinator is responsible for supporting and managing active projects from start to finish, ensuring schedules, deadlines, and deliverables are met. This role works closely with internal team members as well as manufacturers, contractors, engineers, and end users to ensure projects are completed smoothly and on time.

Essential Duties and Responsibilities

Primary:

• Manage active and ongoing projects, schedules, and deadlines
• Interface with all members of our team to coordinate successfully complete projects
• Diligently handle the relationship with our manufacturers, contractors, engineers, and end users
• Become proficient in Salesforce and our accounting system to setup project financials, generate PO’s and invoicing of projects
• Learn our manufacturer’s selection programs and software to be able to enter orders, look up project details, and actively manage manufacturers' and customers’ schedules
• Manage both new equipment jobs, labor jobs, and reconstruction projects
• Manage the manufacturer warranty process through the warranty periods of projects
• Proactively train and self-develop skill sets needed to become proficient in the role- online and in-person manufacturer’s training.

Additional:

• General office tasks as needed
• Assist in inventory management
• Travel as necessary for training opportunities

Experience and Requirements

• Experience working in an office‑based, computer‑focused role supporting projects or operations
• Proven ability to manage multiple, complex projects at the same time, with a strong focus on driving outcomes and meeting deadlines
• Experience coordinating projects primarily from an administrative standpoint, using email, phone, text, and virtual meetings to communicate and track progress
• Comfortable working with limited field involvement, with only occasional job site visits as needed
• Strong organizational and time‑management skills, with the ability to manage dozens of active projects simultaneously
• Highly communicative and proactive, with a tendency towards overcommunication both internally and externally
• Results‑driven mindset with a sense of urgency to resolve open items and push projects to completion
• Comfortable working cross‑functionally with internal teams and external partners
• Willingness to manage projects primarily through administrative coordination rather than hands‑on field work
• Ability to work independently, follow up consistently, and maintain momentum on long‑running projects
