Job summary

Synerfac Technical Staffing in Warren, NJ seeks a Project Billing Specialist to independently prepare and issue hundreds of project invoices monthly. You will review time, expenses, bill rates, and WIP data to ensure accurate billing and timely delivery.

Collaboration with Project Managers across NY, CT, and New England will be routine. Ideal candidates have 2+ years of hands-on billing experience, strong attention to detail, and proficiency with MS Office and Deltek Vantagepoint or similar

Qualifications

• 2+ years of hands-on billing and invoice-generation experience.
• Experience creating invoices independently, not just reviewing others' work.
• Experience with high-volume, project-based time-and-expense billing preferred.
• Experience in engineering/construction/AEC environment is a plus.
• Strong attention to detail and ability to manage multiple deadlines.
• Proficiency with MS Office, especially Excel and Outlook.
• Familiarity with project accounting systems like Deltek Vantagepoint is a plus.
• Some college experience preferred but not required.

A highly reputable engineering consultant firm is seeking a Project Billing Specialist to join their team in Warren NJ. This position is responsible for independently preparing and issuing several hundred project-related invoices each month. Billing involves multiple inputs, including employee time, project expenses, bill rates, and work-in-progress data. The Billing Specialist will work closely with Project Managers and other internal teams to ensure invoices are accurate, complete, and issued on schedule.

Responsibilities

• Independently prepare and issue several hundred project invoices each month
• Review employee time, reimbursable expenses, bill rates, work-in-progress, and other project information used to generate invoices
• Support project billing across multiple states, including New York, Connecticut, and the broader New England region
• Coordinate with Project Managers and internal teams to resolve missing, incomplete, or inaccurate billing information
• Respond to customer billing inquiries and assist with resolving invoice discrepancies or disputes
• Prepare weekly and monthly invoicing and accounts receivable reports
• Maintain accurate billing records and ensure invoices are completed according to established deadlines and requirements
• Assist with other billing and accounting support functions as needed

Job Requirements

Qualifications

• 2+ years of hands-on billing and invoice-generation experience
• Experience independently creating invoices, rather than primarily reviewing, correcting, or tracking invoices prepared by others
• Experience with high-volume, project-based, time-and-expense, or professional-services billing strongly preferred
• Experience in engineering, construction, architecture, environmental consulting, geotechnical services, or another AEC-related environment is a plus
• Relevant billing experience from legal, shipping, logistics, or similar time-and-expense environments may also be considered
• Strong attention to detail and ability to manage a high volume of invoices and competing deadlines
• Proficiency with Microsoft Office, particularly Excel and Outlook
• Experience with Deltek Vantagepoint or a similar project accounting system is a plus
• Some college experience is preferred but not required
