Job summary

Prairie Engineers, P.C. is seeking an organized, detail-oriented accounting associate to support project managers with monthly invoicing and project accounting. This on-site role works with PMs across our Columbia, Hillsboro, or Springfield IL offices to ensure accurate invoices and timely submissions.

The ideal candidate has solid Excel skills, familiarity with Deltek Ajera, and experience in project-based accounting in professional services. Payroll and AP/AR backup also play a part.

Qualifications

• Experience with project billing or accounting in an architecture, engineering, or professional-services firm is valuable.
• Deltek Ajera experience is a big plus.
• Experience with project-based accounting systems and payroll is helpful.

Responsibilities

• Work closely with Project Managers throughout the monthly billing process.
• Prepare draft and final client invoices with backup and documentation.
• Review project charges, billing rates, contract limits, and subconsultant costs for accurate invoicing.
• Help identify and resolve billing issues, unbilled items, and incorrect charges.
• Submit invoices through client systems and maintain billing records.
• Assist with project setup and maintenance of billing terms, rates, budgets, and contract information.
• Help monitor outstanding receivables and coordinate client follow-up with PMs.
• Provide backup for payroll, accounts payable, and other accounting duties.
• Suggest ways to streamline billing and accounting processes.
