Job summary

Upgrade Resources in Dallas, TX is seeking a Project Administrator to support construction management teams on large site projects. You will onboard and badge new staff, maintain timecards and logs, and coordinate documents and schedules.

Working with Project Managers and Foremen, you will distribute drawings, track meeting minutes, update logs, and organize calendars for on and off-site meetings. A 2+ year admin background in construction and strong MS Office skills are preferred.

  • Associate degree or equivalent experience.
  • 2+ years of administrative support experience, construction environment preferred.
  • Solid organization skills.
  • Excellent verbal and written communication skills.
  • Good prioritization skills.
  • Solid Microsoft Suite skills, including Word and Excel.
  • Good customer service skills.

Responsibilities

  • Assists PMs/foremen in tracking daily field reports.
  • Updates and distributes meeting minutes.

  • Files electronic and hard copy project documentation.
  • Sets up key party contact directories.
  • Distributes documents and drawings to field personnel.
  • Manages calendars and schedules.
  • Arranges meetings on and off site.

Role Overview

The Project Administrator supports construction Project Management staff with administrative duties and promotes a team environment on large project sites. The role handles onboarding and badging for site personnel, maintains timecards and manpower lists, and keeps project logs, meeting minutes, and document files current and accurate.

Working alongside Project Managers and Foremen, the Project Administrator distributes drawings, specifications, and correspondence to field personnel and key parties, manages calendars and schedules, and coordinates meetings and programs both on and off site.

Core Responsibilities
  1. On-boards new employees and manages the New Contractor Orientation badging process for all employees.
  2. Organizes, distributes, collects, and maintains timecards for all site personnel.
  3. Maintains manpower lists for the project.
  4. Assists Project Managers and Foremen in tracking and creating field daily reports.
  5. Updates, takes, and tracks meeting minutes.
  6. Updates project logs.
  7. Creates and files electronic and hard copy files for each construction project.
  8. Sets up key party contact directories.
  9. Reviews and distributes documents and correspondence to field personnel and other key parties.
  10. Copies and distributes specifications and drawings to field personnel and other key parties.
  11. Manages calendars and schedules.
  12. Arranges meetings, conferences, and programs on and off site.
Required Background
  1. Associate degree or equivalent experience
  2. 2+ years of administrative support experience, construction environment preferred
  3. Solid organization skills
  4. Excellent verbal and written communication skills
  5. Good prioritization skills
  6. Solid Microsoft Suite skills, including Word and Excel
  7. Good customer service skills
