Job summary

i.e.SmartSystems is seeking an experienced Project Accountant to manage the financials of low-voltage and technology infrastructure projects from setup through closeout. You will work with project managers, operations, and leadership to oversee job costing, billing, change orders, forecasting, and WIP reporting.

The ideal candidate has construction accounting experience, strong analytical skills, and attention to detail to ensure accurate data, compliance with contract terms, and profitability

Qualifications

  • Bachelor’s degree in accounting or finance.
  • 5+ years of experience in construction/project accounting.
  • Strong knowledge of job costing, WIP reporting, revenue recognition.
  • Experience supporting project managers with job costing, forecasting, change orders, billing, closeout.
  • GAAP knowledge; Vista by Viewpoint strongly preferred.

Responsibilities

  • Establish and maintain project financial structures within Vista (customer setup, job creation, budgets, cost codes, contract values, billing).
  • Track change orders and reflect changes in budgets, billing, and forecasts.
  • Coordinate project financial closeout activities in Vista, including final billings and reconciliations.
  • Prepare monthly WIP reporting, including earned revenue, underbillings, and forecasts.
  • Prepare and process customer billings per contracts and change orders.
  • Serve as accounting lead throughout project lifecycle: setup, contract admin, billing, forecasting, and closeout.

Job description

i.e.SmartSystems is seeking an experienced Project Accountant to support the financial management of low-voltage, security, structured cabling, audiovisual, and technology infrastructure projects from project setup through closeout. This position works closely with Project Managers, Operations, and Accounting leadership to oversee job costing, contract administration, billing, change order management, forecasting, and Work-in-Progress (WIP) reporting.

The ideal candidate has a strong background in construction accounting, exceptional analytical skills, and a keen attention to detail. This individual will play a key role in ensuring project financial data is accurate, contract requirements are met, costs are properly tracked, and project profitability is effectively monitored throughout the project lifecycle.

We are looking for a proactive, team-oriented professional who thrives in a fast-paced, growing organization and enjoys partnering with operations teams to drive successful project outcomes. Experience with Vista by Viewpoint and project-based accounting environments is highly preferred.

Typical Duties and Responsibilities:
  • Establish and maintain project financial structures within Vista, including customer setup, job creation, budgets, cost codes, contract values, and project-specific billing requirements.
  • Review and apply contract requirements, scopes of work, billing terms, and project-specific conditions to ensure accurate project setup, billing, revenue recognition, and compliance.
  • Track, process, and maintain project change orders, ensuring approved changes are accurately reflected in project budgets, contract values, billing, and forecasts.
  • Coordinate project financial closeout activities, including final billings, retention releases, reconciliation of costs, and project closure within Vista.
  • Collaborate with relevant departments to ensure proper allocation of costs, timely submission of invoices, and resolution of billing discrepancies.
  • Report any financial risks or budgetary discrepancies to management for review.
  • Partner with Project Managers to monitor project financial performance, prepare job cost and profitability analyses, identify financial risks and opportunities, and support monthly project review meetings.
  • Ensure committed cost reports are accurate by updating subcontracts and purchase orders.
  • Monitor job costs, committed costs, labor utilization, and budget performance; identify variances and recommend corrective actions to Project Managers and Accounting leadership.
  • Partner with Project Managers to evaluate project progress, percent complete calculations, cost-to-complete estimates, and monthly forecasting activities.
  • Prepare monthly Work-in-Progress (WIP) reporting, including earned revenue calculations, underbillings, overbillings, project profitability analysis, budget revisions, and forecasting.
  • Maintain well-organized project records and files.
  • Prepare, review, and process customer billings in accordance with contract requirements, project milestones, and approved change orders.
  • Serve as the accounting lead throughout the project lifecycle, from job setup and contract administration through change order management, billing, forecasting, and project closeout.
  • Assist AR with collections.
  • Other duties as assigned.
Skills and Qualifications
  • Strong analytical mindset with the ability to interpret financial data and identify trends, risks, and opportunities.
  • Strong analytical, financial, and problem-solving skills.
  • Ability to gather, interpret, and communicate financial data to both accounting and operational teams.
  • Ability to prepare, analyze, and explain Work-in-Progress (WIP) schedules, including earned revenue, underbillings, overbillings, and project forecasting.
  • Strong understanding of job costing, contract administration, and project profitability analysis.
  • Advanced Microsoft Excel skills, including PivotTables, XLOOKUP/VLOOKUP functions, and data analysis tools; experience with Power Query and Power Pivot preferred.
  • Experience with Vista by Viewpoint preferred; ability to navigate project accounting, job costing, billing, and reporting functions within an ERP environment.
  • Excellent organizational skills with exceptional attention to detail and accuracy.
  • Ability to manage multiple projects and competing priorities in a fast-paced construction environment.
  • Strong communication skills with the ability to effectively collaborate with executives, project managers, accounting personnel, and field operations teams.
  • Collaborative, team-oriented mindset with a commitment to continuous improvement.
Required Education and Experience
  • Bachelor’s degree in accounting or finance
  • 5+ years of experience in construction accounting, project accounting, or a related project-based financial environment.
  • In-depth knowledge of job costing, WIP reporting, revenue recognition, and construction financial management.
  • Experience supporting project managers through job costing, forecasting, change order management, billing, and project closeout activities.
  • Working knowledge of Generally Accepted Accounting Principles (GAAP)
  • Experience with Vista by Viewpoint strongly preferred.
