Job Summary

Provide project, calendar, communications, records, logistics, and customer-service support to the executive director and Adult Education and Literacy (AEL) leadership. Coordinate executive assignments and provides backup operational and enrollment support within established procedures and delegated authority.

**This position is 100% grant-funded. Continuation of this position is dependent upon the availability of grant funding.**

Required Qualifications
Essential Duties and Responsibilities
  • Provide administrative support to assigned AEL leadership or functional areas, including scheduling, meetings, agendas, correspondence, presentations, document preparation and follow-up.
  • Maintain organized calendars, files, forms, templates, rosters, shared resources, action logs, project trackers and other administrative documentation.
  • Provide logistical support for orientations, testing, classes, professional development, outreach, partner events, meetings, facilities needs and special initiatives.
  • Prepare and track purchasing, procurement, invoice, travel, vendor and related documentation through established College processes without approving expenditures.
  • Support staff onboarding administration, scheduling, collection of required documentation and routine communications under supervisor and HR direction.
  • Compile routine program information and prepare basic spreadsheets, summaries, presentation materials, reports and supporting documentation from approved source information.
  • Organize monitoring, grant, partnership and review documentation supplied by responsible staff; maintain accurate versions and secure records.
  • Provide general information, customer-service, phone/front-desk and referral support to students, faculty, staff and partners; route substantive questions and decisions appropriately.
  • Provide flexible surge support during peak enrollment, reporting, monitoring, orientation, event and project periods according to established priorities.
  • Protect confidential information, follow College and grant procedures, record all hours worked and obtain authorization for work beyond the assigned schedule.
  • Supplemental Functions Perform other duties as assigned.

  • Ability to manage competing deadlines, support multiple stakeholders, maintain accurate records and work within established authority.
Physical Demands, Working Conditions and Physical Effort
  • Sedentary Work - Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects, including the human body.
  • Sedentary work involves sitting most of the time.
  • Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Requirements

Associate degree from an accredited institution and two (2) years of related experience OR equivalent combination of education and experience. Preferred Administrative, program-support, student-services, higher-education, or workforce experience.

Equivalency Language

An additional two (2) years of directly related work experience may be substituted for the education requirement.

Compensation

Compensation Type: Salary Employment Type: Full time

  • Hiring Minimum $40,310.00
  • Hiring Maximum $49,157.00

Compensation is determined based on experience.
