Qualifications

Responsibilities

  • Assists with award oversight to ensure grant compliance and post-award activities.
  • Assists with administrative oversight of grant-related activities through budget monitoring, records, deadlines, and reports.
  • Provides administrative support including scheduling, screening calls, greeting visitors, and addressing inquiries.
  • Completes transfer requests, reconciles expenditures, maintains accounting records, and other transactional duties.
  • Fulfills purchasing requirements, researches items, obtains quotes, enters data into university systems, and reconciles purchases.
  • Prepares written documents, reports, memos, meeting materials, presentations, and spreadsheets.
  • Maintains systems for administration of records, including electronic files and databases.
  • Supports website and social media communications.
  • Schedules information and education activities, coordinates GIDDI ambassador shifts, and supports related tasks.
  • Assists with event planning including room reservations and equipment.
  • Supports hiring of OPS and student employees for post-award work and projects.
  • Collaborates with the Office of Research and Sponsored Programs to ensure policy compliance.

Job Summary

Job Description

Typical duties may include but are not limited to:

  • Assists with award oversight to ensure grant compliance and the successful running of post-award activities.
  • Assists with the administrative oversight of grant related activities through budget monitoring, record keeping, deadline oversight, and report completion.
  • Provides administrative support to include maintaining schedule/calendar, screening telephone communication, greeting and directing visitors, and resolving administrative problems and inquiries.
  • Completes transfer requests, reconciles expenditure transactions, maintains accounting records, and other transactional duties related to award administration.
  • Fulfills purchasing requirements for assigned area, researching items and obtaining price quotes, entering information into university systems, receiving purchase orders, maintaining P-Card information, and reconciling purchases.
  • Composes and prepares written documents, flyers, and correspondence including reports, memos, meeting materials, letters, presentations, and spreadsheets.
  • Establishes and maintains systems for administration of records for the area, including electronic files, records, and databases.
  • Supports website and social media communications.
  • Schedules and assists with on and off campus information and education activities, including coordinating GIDDI ambassador shifts and supporting related work tasks.
  • Assists with event planning including room reservations, equipment, materials and communications
  • Provides administrative support for the hiring of OPS and student employees to assist with post award work and projects.
  • Collaborates with the Office of Research and Sponsored Programs to ensure compliance and adherence to policies and procedures.

Additional Job Description

Required Qualifications:

  • This position requires a high school diploma and two years of full-time experience directly related to the position.
  • Experience with consumer-level design software.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, and Outlook).
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.

Preferred Qualifications:

  • Bachelor’s Degree from an accredited institution in a related field.
  • Experience with intellectually and developmentally disabled individuals.
  • Experience working in higher education.

  • Strong interpersonal skills and experience working effectively across teams.
  • Knowledge of general office procedures.

  • Knowledge of budget control principles, practices and procedures.
  • Knowledge of various funding agency rules and regulations as they pertain to grant/contract administration.
  • Excellent interpersonal, verbal and written communication skills.
  • Strong organizational skills and an ability to prioritize and complete simultaneous projects when numerous and competing demands are involved.
  • Ability to operate personal computers with proficiency and learn new applications and systems.
  • Ability to accurately prepare and maintain records, files, and reports.
  • Ability to interact in a professional manner with staff, faculty, students, and the community in a service-oriented environment.
  • Ability to seek and utilize support resources available on campus.
  • Ability to think critically and make clear, well-reasoned and timely decisions.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
