Florida Gulf Coast University (FGCU) seeks a Program Support Specialist to provide administrative support for the Golisano Intellectual and Developmental Disability Initiative (GIDDI). The role emphasizes grant compliance, post-award activities, and operational support to ensure timely, accurate deliverables.

You will coordinate calendars, prepare reports, assist with budget monitoring, and help manage records and communications across departments.

Qualifications

  • Requires a high school diploma and two years of full-time experience directly related to the position.
  • Experience with consumer-level design software.
  • Proficient with Microsoft Office (Word, Excel, Outlook).

Responsibilities

  • Assists with award oversight to ensure grant compliance and the successful running of post-award activities.
  • Assists with administrative oversight of grant-related activities through budget monitoring, record keeping, deadline oversight, and report completion.
  • Provides administrative support including maintaining schedule/calendar, screening calls, greeting visitors, and resolving administrative problems.
  • Completes transfer requests, reconciles expenditure transactions, maintains accounting records, and other transactional duties related to award administration.
  • Fulfills purchasing requirements for the assigned area, researching items and obtaining price quotes, entering information into university systems, receiving purchase orders, maintaining P-Card information, and reconciling purchases.
  • Composes and prepares written documents, flyers, and correspondence including reports, memos, meeting materials, letters, presentations, and spreadsheets.
  • Establishes and maintains systems for administration of records including electronic files, records, and databases.
  • Supports website and social media communications.
  • Schedules and assists with information and education activities, including coordinating GIDDI ambassador shifts and related tasks.
  • Assists with event planning including room reservations, equipment, materials and communications.
  • Provides administrative support for hiring OPS and student employees for post-award work and projects.
  • Collaborates with the Office of Research and Sponsored Programs to ensure compliance with policies.
  • Other duties as assigned.

Required Qualifications
  • This position requires a high school diploma and two years of full-time experience directly related to the position.
  • Experience with consumer-level design software.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, and Outlook).
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.
Preferred Qualifications
  • Bachelor's Degree from an accredited institution in a related field.
  • Experience with intellectually and developmentally disabled individuals.
  • Experience working in higher education.

  • Knowledge of general office procedures.

  • Knowledge of budget control principles, practices and procedures.
  • Knowledge of various funding agency rules and regulations as they pertain to grant/contract administration.
  • Excellent interpersonal, verbal and written communication skills.
  • Strong organizational skills and an ability to prioritize and complete simultaneous projects when numerous and competing demands are involved.
  • Ability to operate personal computers with proficiency and learn new applications and systems.
  • Ability to accurately prepare and maintain records, files, and reports.
  • Ability to interact in a professional manner with staff, faculty, students, and the community in a service-oriented environment.
  • Ability to seek and utilize support resources available on campus.
  • Ability to think critically and make clear, well-reasoned and timely decisions.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
