Job summary

The State of Florida Legislature seeks a qualified professional to support executive appointments. The position involves data entry, document preparation, research, and coordination with multiple agencies to obtain background information and ensure timely processing of appointments.

Responsibilities include maintaining records, tracking legislation, preparing reports, and assisting in policy-related tasks. A bachelor’s degree with relevant experience is required; a master’s or CPA is a plus.

Qualifications

  • Bachelor’s degree plus 3 years of professional experience in accounting, auditing, budgeting, HR, or related fields.
  • Master’s degree or CPA can substitute for one year of required experience.
  • Professional experience can substitute for college education on a year-for-year basis.

  • Inputs and updates data to the database used by the Senate to process executive appointments.
  • Prepares correspondence used to request background information from agencies regarding executive appointments.
  • Monitors and keeps up-to-date status information on all correspondence.
  • Prepares appointee files for review.
  • Conducts detailed research into assigned subjects pertaining to executive appointments.
  • Identifies problems, researches solutions, and communicates with staff on policy options regarding executive appointments.
  • Assists in proofreading documents in appointee files.
  • Assists in preparing reports on committee actions.
  • Tracks legislation affecting boards and appointees.
  • Maintains financial or other administrative records; monitors budgetary activities; prepares status reports.
  • Reconciles year-end records and prepares annual reports.
  • Assists in formulating, interpreting, applying, and conforming with administrative policies and procedures.
  • Performs other related duties as required.

  • Ability to communicate effectively verbally and in writing.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to understand and apply related rules, regulations, policies, and procedures.
  • Ability to work independently.
  • Ability to solve problems and make decisions.
  • Ability to use tact and exercise good judgment when interacting with Legislators and staff, other agencies, and the public.
  • Ability to meet deadlines.
  • Ability to maintain confidentiality of sensitive data/information.
Minimum Qualifications
  • A bachelor’s degree from an accredited college or university with major coursework in accounting, business or public administration, or a related field and three years of professional experience in accounting, auditing, budgeting, human resource, staff development or training, purchasing, research, analysis, program planning and evaluation, or administrative work; or A master’s degree from an accredited college or university in accounting, possession of a Certified Public Accountant (C.P.A.) Certificate, business or public administration can substitute for one year of the required experience.
  • Professional experience as described above can substitute on a year-for-year basis for the required college education.
Preferred Qualifications
  • Preference will be given to applicants who are knowledgeable and familiar with the principles, practices, and procedures of the legislative process and the executive appointments process.
