This position involves travel between multiple campus locations: Mount Vernon, Foggy Bottom, and Virginia Science & Technology Campus. The ideal candidate can drive moving vans between these locations. The position requires on-site presence five days a week at our Foggy Bottom Campus.

I. DEPARTMENT INFORMATION

Job Description Summary:

The Program Manager for Relocation Services is responsible for planning, managing, and completing relocation projects efficiently. This includes coordinating tasks, working with teams, managing vendors, and ensuring smooth project execution. The ideal candidate is organized, adaptable, and proficient in using technology to streamline operations while maintaining high standards.

Key Responsibilities:

  1. Integration and Optimization of Monday.com: Implement and optimize Monday.com for task management and team collaboration. Provide training and support to team members.
  2. Work Order Management: Use AIM software or similar tools to manage and prioritize relocation requests. Ensure timely responses and high service standards.
  3. Task Tracking and System Updates: Document, assign, and track tasks. Keep project tracking systems current.
  4. Vendor Coordination: Coordinate with moving companies and vendors to schedule manpower and workflows. Monitor vendor performance.
  5. Invoice Handling: Manage invoices, including entry, approval, and payment. Address discrepancies with finance teams.
  6. Inventory and Procurement Management: Oversee furniture inventory and work with procurement to place orders.
  7. Technical Proficiency: Use tools like Google Workspace, Microsoft 365, and project management software to support operations.
  8. Design and Visualization Work: Create layouts using AutoCAD, 3D software, Adobe tools, and Canva as needed.
  9. Administrative Support: Manage emails, digitize records, and handle tickets. Perform general administrative tasks.
  10. Physical and On-Site Tasks: Assist on-site and perform physical tasks as needed. Maintain flexibility for overtime or role changes.

Minimum Qualifications:

Candidates should hold a Bachelor’s degree in an appropriate field, conferred by the start date. Equivalent education, training, and experience may substitute for degree requirements.

Preferred Qualifications:

  • Experience supporting administrative functions within a university setting, including coordinating moving events and managing logistics.
  • Proficiency in managing departmental projects, multitasking, and handling sensitive issues with excellent customer service.
  • Strong communication skills across multiple platforms.
  • Ability to work independently and as part of a team.
  • Experience with invoice processing and management.
  • Bilingual skills are a plus but not required.

II. POSITION INFORMATION

Campus Location: Foggy Bottom, Washington, D.C.

Department: Division of Safety and Operations

Hours Per Week: 40

Salary Range: $27.00 - $34.00 per hour

Work Schedule: 9AM - 5PM, Monday through Friday, with occasional Saturdays.

Position Type: Full-Time

Telework: No

Background Checks: Criminal history, education, social security, sex offender registry, and MVR checks required.

Special Instructions:

This role requires travel between campuses and the ability to drive moving vans. The position is on-site five days a week at Foggy Bottom.
