Job summary

LeadStack Inc. is seeking an experienced Program Coordinator to manage on-site cohort operations for Basecamp-like events in San Francisco. This six-month contract involves hands-on logistics, attendee management, and cross-functional coordination.

You'll own day-of logistics, speaker coordination, participant communications, and a program dashboard, with 20+ participant cohorts and monthly events. On-site role with travel for events and a W2 rate of $100-$120/hour.

Qualifications

  • 4+ years in program coordination or event operations with logistics ownership.
  • Experience running in-person onboarding cohorts or training events with 20+ participants.
  • Strong written communications and proactive stakeholder follow-up.

Responsibilities

  • Run day-of logistics for Basecamp cohorts including setup, AV, materials, catering, and timekeeping.
  • Improve learner experience with prizes and recognition; capture recap highlights.
  • Maintain cohort roster and assign participants; manage attendance and completion.
  • Own participant communications from welcome emails to calendar invites and Slack channels.
  • Maintain program dashboard and collect post-session surveys and NPS data.
  • Coordinate SME speakers and keep run-of-show documents current.
  • Manage calendar, backlog triage, and Asana hygiene.
  • Produce a monthly program scorecard with attendance and completion metrics.

Job description

Location: Onsite SF (Monday - Thursday); Some monthly travel required for events

Duration: 6+ Months

Rate Range: $100/hr - $120/hr on w2

Portfolio / Samples: Would like to see examples of scalable events or programs they have worked on

What you'll do:

On-site cohort operations


  • Run day-of logistics for each Basecamp cohort: room setup, AV checks, materials, catering, timekeeping, breakout room coordination

  • Improve the learner experience, including prizes and recognition

  • Capture cohort photos and post recap highlights to internal Slack channels

  • Maintain the cohort roster as the single source of truth: pull new-hire start dates from the People team, assign participants to cohorts, track attendance and completion

  • Own participant comms end-to-end: welcome emails, pre-work instructions, calendar invites, cohort Slack channel setup, reminder nudges

  • Distribute post-session surveys, compile NPS and verbatim feedback, and maintain the running program dashboard


Speaker and SME coordination


  • Schedule and confirm SME speakers for each cohort, chase slide submissions to deadline, and maintain a backup speaker bench

  • Keep the Basecamp run-of-show document current and update it after every cohort retro


Program operations


  • Own the Technical Productivity program calendar: cohort dates, blackout weeks, company event and holiday collisions

  • Triage inbound enablement requests into a backlog for weekly review with the hiring manager

  • Maintain Asana board hygiene so program status is always current

  • Produce a monthly program scorecard: cohorts run, attendees, completion rate


What we're looking for:


  • 4+ years in program coordination, event operations, L&D operations, or executive support with heavy logistics ownership.

  • Track record running recurring in-person programs (onboarding cohorts, training events, offsites) with 20+ participants.

  • Highly organized, detail-obsessed, and comfortable chasing senior stakeholders for deliverables.

  • Strong written comms; can draft participant-facing emails and Slack posts without heavy editing.

  • Fluent in Google Workspace, Slack, and at least one project tracker (Asana, Linear, or similar.


Nice to have:


  • Experience in a sales/GTM enablement, L&D, or People Ops function at a high-growth tech company.

  • Familiarity with LMS tooling or survey platforms.

  • Comfort building lightweight dashboards in Sheets or Looker Studio.
