SPECIFIC RESPONSIBILITIES
- Responsible for supervising Managers, ensuring all clinical aspects of the program are handled promptly and effectively. This includes updating Residential Habilitation Plans/CFA, organizing planning meetings (Shift, Annual, Semi-Annual, IDT), and maintaining accurate minutes.
- Supervises and ensures all records in houses comply with OPWDD regulations and SCO policies, are completed timely, and uphold high standards. Leads in-service trainings, maintains up-to-date programmatic documentation such as EHR, financial records, MAR, medical books, fire drills, and emergency plans involving the individual circle of supports.
- Provides oversight and direction to residential management, ensuring all purchases and invoices are processed via Coupa, and financial tasks like billing and petty cash are completed on schedule.
- Ensures high-quality operation of the houses, including proper building maintenance (boiler checks, lawn care) and overall facility standards, with supervisory visit documentation.
- Conducts and documents monthly site visits following the residential program checklist.
- Oversees Medicaid billing, ensuring services are provided and documented according to Medicaid and Waiver regulations, maintaining Evolve records as required.
- Reviews and approves all Coupa submissions, ensuring report accuracy.
- Maintains incident reporting systems and completes IRC submissions promptly.
- Maintains SCIP-R, AMAP, CPR, First Aid & AED certifications.
- Performs additional duties as assigned by the Program Director or designee.
- Ensures monthly program audits are completed at each site, with findings and corrective action plans submitted to the Program Director.
- Participates in IRC/HRC Committee meetings as necessary.
QUALIFICATIONS
- Master's degree preferred; BA/BS required.
- At least two years of supervisory experience.
- Minimum one year managing an ICF/IRA.
- Working knowledge of ICF/IRA regulations.
- Ability to handle emergencies professionally.
- Maintains a valid NYS Driver's License.
RELATIONSHIP WITH OTHERS
- Interacts with state agencies, other providers, families, and maintains positive relationships. Provides supervision and mentorship to staff.
- Possesses characteristics such as teamwork, cultural sensitivity, respect for growth and change, and appropriate intervention skills.
WORKING CONDITIONS
- 35 hours/week with a flexible schedule. Available for emergencies and program spot checks.
SCOPE OF RESPONSIBILITY
- Manages all aspects of assigned residential programs, including physical plant, finances, interdisciplinary teams, program recertification, hiring, payroll, purchasing, billing, and liaison duties. Responsible for screening and supporting development projects.
Qualifications - Education
