The Mobile Healthcare Association (MHA) is the national association supporting the mobile healthcare field. MHA helps programs launch, improve, sustain and scale their work through professional education, peer learning, standards and practice improvement, collaboration, field-building partnerships and advocacy. As the field grows, MHA is strengthening its program and learning portfolio to better support both individual leaders and mobile healthcare programs across the country.
Position Summary
The Program Coordinator, Learning & Programs is a hands-on, highly organized member of MHA’s program team who helps turn program ideas and approved plans into reliable, high-quality member experiences. The coordinator manages assigned work streams, keeps timelines and systems current, coordinates faculty and subject-matter experts, supports learners and members, and ensures that program details move smoothly from planning through delivery and follow-up.
This role is highly organized but not task oriented. The successful candidate asks good questions, anticipates what comes next, identifies problems early and can independently move defined work forward within established priorities and guardrails. The position offers meaningful exposure to a growing national association and a clear development pathway toward broader program management responsibility over time.
- Coordinate webinars, Master Classes, workshops, cohorts, peer-learning programs and other professional education and member offerings from planning through closeout.
- Build and maintain workplans, timelines and Asana tasks; track dependencies, deadlines, decisions and deliverables.
- Coordinate registration, scheduling, learning materials, technology, participant communications and program support.
- Help translate approved program concepts into organized, executable workplans.
- Identify missing information, risks and potential delays early and recommend practical next steps.
- Support implementation of emerging MHA learning initiatives and Advancing Excellence activities as those models are developed.
- Serve as a reliable point of contact for faculty, subject-matter experts, volunteers and committee participants.
- Coordinate invitations, scheduling, onboarding, agreements, biographies, presentations, disclosures and other required materials.
- Prepare agendas, faculty briefs, meeting materials and follow-up communications.
- Track commitments and deadlines proactively so faculty and volunteers know what is needed and when.
- Help create a consistent, professional faculty and volunteer experience across MHA programs.
Annual Conference Education
- Support the educational and faculty components of MHA's Annual Conference.
- Coordinate speaker onboarding, documentation, biographies, headshots, presentations, disclosures and deadlines.
- Support abstract, poster and faculty workflows.
- Coordinate continuing-education documentation and participant records in partnership with program leadership and accreditation partners.
- Maintain accurate speaker and session information and ensure timely handoffs to Marketing, Communications, Member Experience, event partners and vendors.
- Support onsite educational-program execution and post-conference closeout.
Conference venue, hotel, food-and-beverage, exhibit and general meeting logistics are managed through other MHA staff and partners.
Program Systems & Operational Excellence
- Use Asana as the system of work for assigned programs and maintain accurate, current project information.
- Build and improve repeatable workflows, templates, checklists and standard operating procedures that reduce rework and make programs easier to deliver.
- Work across MHA systems such as the association management system, webinar platforms, survey tools, website, community platform and future learning technology.
- Maintain accurate registration, attendance, completion, certificate and program records as assigned.
- Support simple reporting and dashboards that help the team understand participation, progress, quality and operational performance.
- Help ensure program data is accurate and usable across Programming, Member Experience and Marketing.
- Administer program evaluations, surveys and other feedback tools using established MHA methods.
- Compile participation and evaluation data and help identify recurring themes, issues and opportunities for improvement.
- Support implementation of MHA’s evolving learning, evaluation and program-quality standards.
- Capture lessons learned after major programs and help convert them into practical process improvements.
Cross-Functional Collaboration
- Provide Marketing and Communications with accurate, approved program information and source materials on time.
- Coordinate with Member Experience and Operations on registration, participant support, data and access needs.
- Work effectively with external event, technology and program partners while maintaining clear MHA ownership and accountability.
- Contribute to other organizational priorities as needed in a small, collaborative and growing association.

Qualifications
- 2-4 years of relevant professional experience in association management, professional education, member programs, nonprofit programming, healthcare/public health programming or project coordination.
- Demonstrated ability to coordinate multiple workstreams, deadlines and stakeholders simultaneously.
- Exceptional organization, attention to detail and follow-through.
- Strong written and verbal communication skills.
- Comfort working with senior professionals, faculty, subject-matter experts, volunteers, members and external partners.
- Ability to determine practical next steps independently while recognizing when an issue requires escalation.
- Comfort learning and using technology and maintaining accurate information across multiple systems.
- Ability to work effectively and reliably as part of a fully remote team.
- Ability to travel for MHA's Annual Conference and occasional organizational meetings.
Preferred
- Bachelor's degree or equivalent experience in business, communications, education, public health, healthcare, association management or a related field.
- Experience working for a professional association, membership organization or professional society.
- Experience supporting year-round professional education or member programs, not solely event logistics.
- Experience with webinars, continuing education, certificate/credentialing programs, adult learning or faculty-led education.
- Exposure to continuing-education or accreditation processes.
- Experience with Asana, an AMS, LMS, Higher Logic, Zoom or similar systems.
