Ideal candidates have a Bachelor's degree, at least 2 years in program coordination, strong organizational skills, proficiency with MS Office, SharePoint, and Adobe, and an active US Secret clearance.

Responsibilities

  • Travel coordination: manage travel logistics, bookings, lodging, transportation, and visas for program personnel.
  • Ensure compliance with travel policies and regulations; assist with expense reporting.
  • Assist in creating and maintaining program deliverables (reports, presentations, proposals).
  • Coordinate meetings and program events; maintain travel records and status reports.

The Opportunity

NTS is seeking a Program Coordinator-Operations Support to support a U.S. Department of State (DoS) contract. This individual will play a key role in assisting with travel coordination for personnel and supporting the development of program deliverables. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work in a fast-paced environment.

Key Responsibilities (Principal Duties and Accountabilities *Essential Functions)

Travel Coordination:

  • Manage and coordinate travel logistics and authorizations for program personnel, including flight bookings, lodging, transportation, and visa requirements.
  • Work closely with the program team to ensure timely and cost-effective travel arrangements.
  • Ensure compliance with all travel policies and regulations.
  • Collect travel documentation from travelers and ensure compliance for expense reporting.
  • Assist in the creation and maintenance of program deliverables, including reports, presentations, and proposals.
  • Collaborate with program managers to ensure deliverables meet contract requirements and deadlines.
  • Support tracking of program milestones and deliverables to ensure alignment with project timelines.
General Administrative Support:
  • Coordinate meetings, briefings, and other program-related events.
  • Maintain program documentation, including travel records, meeting minutes, and status reports.
  • Assist with resource management, including tracking equipment, supplies, and personnel requirements and expense reports.
Requirements
  • Fluency in English (written and spoken)
  • Active Secret Security Clearance with the US Government
Education
  • Bachelor’s degree in business administration, Program Management, or related field (or equivalent work experience.)
Required Skills, Experience & Abilities
  • Minimum of 2 years of experience in program coordination, preferably in government contracting (DoS or similar contracts a plus).
  • Demonstrated strong organizational and multitasking skills, with the ability to effectively prioritize competing tasks.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), SharePoint, and Adobe applications.
  • Prior experience coordinating travel and working with government travel regulations.
  • Excellent written and verbal communication skills.
  • Proven ability to work independently as well as collaboratively in a team environment.
  • Strong attention to detail with a demonstrated record of accuracy in completing tasks
Preferred Qualifications
  • Experience with DoS contract or other government contracts

Summary
  • Work Schedule will be Monday to Friday, 8 hours per day having to cover core contract hours of 0900 to 1500
  • This is an onsite position in our Gainesville, VA office. At times the employee may visit and/or work out of an office in Sterling, VA.
Compensation:

This is a Salary Non-Exempt role. The base salary range for this position is $65,000-$85,000

Actual compensation will be determined based on factors including relevant experience, qualifications, skills, location, and internal equity.
