Program Assistant - English/Spanish bilingual

This position offers a fully remote work environment with a pay range of $25.00 to $35.00 per hour. Your actual salary will depend on your skills and experience; discuss this with your recruiter.

Role Overview

The GPS Program Assistant supports the Program Director in managing program operations, communications, customer support, scheduling, and moderating virtual meetings. The role requires excellent organization, communication skills, professionalism, and the ability to work remotely effectively.

Key Responsibilities
  1. Program & Administrative Support
  2. Manage scheduling for training sessions, meetings, and events.
  3. Handle inquiries, respond to emails, send reminders, and provide technical support across platforms like email, Slack, and HubSpot.
  4. Maintain attendance and registration records using HubSpot and LMS systems.
  5. Assist facilitators with schedules, materials, and resources.
  6. Keep organized records and reports to track participant activity and outcomes.
  7. Create and update FAQs and troubleshooting guides.
  8. Identify and address program inefficiencies and suggest improvements.
  1. Program Moderation & Technical Support
  2. Manage Zoom meetings, including setup, moderation, and troubleshooting.
  3. Conduct pre-event tech checks and manage breakout rooms and chat functions.
  4. Address technical issues during sessions promptly.
Skills & Qualifications
  • Experience working remotely with strong organizational skills.
  • Professionalism, clear communication, and reliability.
  • Attention to detail and adherence to protocols.
  • Willingness to collaborate and support the team.
  • Strong customer service and problem-solving skills.
  • Proficiency with Microsoft Office, Google Suite, and video conferencing tools.
  • Experience in training, facilitation, coaching, or teaching.
  • Emotional intelligence and multilingual skills (English required, Spanish preferred).
Technical Tools & Platforms (Training Provided)

Experience with HubSpot, Zoom, Google Suite, Asana, Eventbrite, Alchemer, and Slack is preferred.

Work Requirements
  • Quiet, private workspace with reliable equipment and internet.
  • Ability to manage multiple responsibilities and meet deadlines.
  • Ownership of necessary equipment, including a quality microphone and camera.
  • Detail-oriented, process-driven, and adaptable.
