Job summary

Belmont University in Nashville is seeking a qualified Program Assistant to support multiple department chairs and faculty with daily operations, including phones, emails, scheduling, and event coordination. The role requires 1–3 years of higher education administrative experience, proficiency with Microsoft Office, SCT Banner, Argos, Canva, and strong written and verbal communication.

This is a full-time, on-site staff position with responsibilities across office administration and data

Qualifications

Responsibilities

  • Update and manage course scheduling via Classfinder.
  • Provide administrative support for faculty and staff, including emails and supplies procurement.
  • Publish course evaluations and manage syllabi each semester; support NIW forms as needed.
  • Schedule catering and room bookings; act as CEMB representative for reservations.
  • Assist with student recruiting, orientation sessions, and college events.
  • Maintain adjunct faculty contacts and communicate reminders and deadlines.
  • Process Argos and develop academic data reports; manage Canvas/internal sites for CEMB committees.

Primary Duties and Responsibilities
Position purpose

Serve as support to multiple department chairs and faculty with daily operations, including answering phones/emails and directing office traffic during regular business hours.

Essential Functions
  • Update and manage course scheduling via Classfinder.
  • Provide administrative support for organizational, informational and communication needs to faculty and staff including answering the Curb internships general email as well as assisting and/or fielding student questions. Order general office supplies and classroom supplies.
  • Manage course evaluation publishing each semester (DIG), faculty workload/NIW forms & collect/post course syllabi each semester.
  • Schedule catering and room booking as needed for the departments. Serves as CEMB representative to reserve student meetings.
  • Assist with student recruiting, orientation registration sessions, and college and university events as needed.
  • Maintain contact database of adjunct faculty and communicate semester reminders, due dates and items needed from adjunct faculty.
  • Facilitate processing of Argos and development of academic data reports and manage Canvas/internal websites for CEMB committees.

Ability to convey information clearly and concisely to groups or individuals either verbally or in writing to ensure that they understand the information and the message. Ability to listen and respond appropriately to others. Ability to impact and influence others to further the institution’s strategic objectives.
  • Technical, Computer, and Software Skills: Ability to use Microsoft Office (Excel, PowerPoint, Word, SCT Banner, Argos, Canva) and basic databases and software.
Required Education

Education: High School Diploma; Bachelors degree preferred

Required Experience

1-3 years of higher education administrative experience; SCT Banner experience; Canva experience and a working knowledge of databases

The selected candidate will be required to complete a background check satisfactory to the University.
