Job summary

Terumo Neuro is seeking an organized Coordinator, Professional Affairs to provide administrative, clinical, educational and operational support for PACE programs. You will manage contracts, payments, travel, webinars, and training logistics, coordinating with healthcare professionals, vendors, and cross-functional teams.

The role requires a Bachelor’s degree or equivalent plus 1–3 years of administrative experience, strong MS Office skills, and exceptional attention to detail.

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.
  • 1 to 3 years of administrative office support experience.
  • Excellent organizational and project coordination ability with acute attention to detail.
  • Proven track record of providing successful administrative support and interpersonal competence.
  • Creative problem solving.
  • Excellent interpersonal, written, and verbal communication skills.
  • Extremely reliable and dependable.
  • Strong proficiency with MS Office Word, Excel, Outlook, PowerPoint, and Teams.

Responsibilities

  • Provide administrative and operational support to the PACE team.
  • Manage submission, tracking, and processing of proctor or healthcare professional contracts, to include engagement activities and travel arrangements.
  • Manage Ringi (Project Approval Process) generation to facilitate approvals, including check requests, invoices, and other financial documentation.
  • Complete submission and facilitate processing of forms to legal, finance, and other departments.
  • Complete and track payment initiation for on-going proctor support, as required.
  • Support expense report generation, submission, and reimbursement.
  • Organize physician related travel for support of training and other educational programs.
  • Organize periodic webinars, conference calls, team calendars, meetings, databases, travel itineraries, and visa coordination as needed.
  • Assist with organization and distribution of materials for training events, proctored cases.
  • Manage flow models equipment and inventory for the PACE team.
  • Support organization and purchase of new vascular models for internal training or physician training and case support.
  • Reformat PowerPoint presentations into new templates and adjust slides as requested; communicate presentations with key stakeholders.
  • Facilitate training requirement compliance for the PACE team.
  • Route PACE related documents for internal approval.
  • Maintain physician training documentation and training modules.
  • Prepare surveys and reports from programs.
