Production Event Specialist

As a Production Event Specialist, you will be the creative and production engine behind local, quick-turn events and activations on-site. Reporting to the General Manager, you will develop compelling event concepts from inception through installation, ensuring every activation reflects the company’s creative standards and IP guidelines. This role is focused on fast-moving, locally-driven programming, requiring a sharp eye for design, deep vendor relationships, and the organizational firepower to manage multiple concurrent projects in a dynamic, guest-facing environment. This is a highly collaborative, hands-on role for someone who thrives at the intersection of creative vision and production execution. Someone who can pitch a big idea in the morning and be on-site managing a vendor install in the afternoon. If you're energized by rapid ideation, local community programming, and working within a cross-functional team structure, this role is for you.

Key Responsibilities
Concept Development
  • Partner with the General Manager, Event Supervisor, and Community Marketing Specialist to develop original concepts for local events and activations that align with our IP and title campaigns, guided by cross-functional initiatives.
  • Work closely with the central team to coordinate approvals, assets, and creative ideation, ensuring that local activations align with broader company standards and initiatives.
  • Develop and maintain detailed project decks that capture all design elements, creative direction, and production specifications for use in Central IP, legal, creative, and production reviews, as well as with the on-site team and GMs.
  • Provide clear design direction to vendors, fabricators, and creative partners to ensure deliverables meet our creative and brand standards.
  • Maintain a strong command of IP standards and guidelines across all active projects, ensuring all activations are compliant and on-brand.
  • Contribute a keen eye for design and aesthetic quality at every stage, from concept through final installation.
Vendor Management & Production
  • Identify, vet, and onboard vendors across categories including fabrication, décor, AV, concept design, graphic design, and more.
  • Build and maintain a robust rolodex of go-to vendors in the (LOCATION) market and beyond, with a focus on quality, reliability, and cost-efficiency.
  • Manage vendor relationships from concept through install, serving as the primary point of contact for deliverables, timelines, and on-site execution.
  • Manage project timelines and keep all parties informed of milestones, dependencies, and open items.
  • Oversee on-site installs and event load-ins, ensuring all elements are executed to spec and on schedule.
  • Conduct post-event recaps and site walks to capture learnings and maintain a record of vendor performance.
Finance & Administration
  • Provide accurate production cost estimates based on experience and vendor bids, clearly communicating assumptions and risks to stakeholders.
  • Partner with Finance Managers to develop project-level P&L statements for all events and activations.
  • Establish purchase orders, process and track invoices, and liaise with vendors to ensure accurate and timely billing.
  • Maintain budget-tracking documentation across all active projects, surfacing variances and proactively flagging budget risks.
  • Draft detailed Statements of Work (SOWs) for each vendor partnership.
Qualifications / Experience
  • 5+ years of experience in short-turnaround event production, experiential marketing, live events, themed entertainment, or a closely related field.
  • Proven ability to develop event concepts from ideation to execution, with a portfolio that demonstrates creative range and production quality.
  • Strong eye for design and a working knowledge of experiential production aesthetics, spatial design, and guest experience principles.
  • Demonstrated experience managing vendor relationships end-to-end, from sourcing and contracting through on-site execution.
  • Experience building and managing project-level budgets, P&Ls, and cost estimates.
  • Familiarity with IP-sensitive environments and experience navigating creative review and approval workflows.
  • Highly organized with the ability to manage multiple concurrent projects without losing attention to detail.
  • Comfortable operating in a fast-paced, ambiguous environment and pivoting quickly when priorities shift.
  • Strong presentation and communication skills, with the ability to pitch ideas confidently to senior stakeholders.
  • Proficiency in Google Workspace, including Google Drive, Docs, Slides, and Sheets
  • Existing vendor relationships are a strong plus.
  • Willingness to work evenings and weekends as required by event schedules.
