Job summary

Madison Magazine is seeking an organized production coordinator to join our team in a part-time role of 20 hours per week. The coordinator will keep print assets moving, liaising with editorial, design, sales and marketing to meet printer deadlines and vendor communications.

Responsibilities include managing production flow, cross-department coordination, and reporting to printers and auditors. CMS and Office 365 experience are preferred to support workflows and timelines effectively.

Qualifications

  • 1–2 years of experience as a project coordinator or project manager preferred.
  • Ability to balance several projects and meet multiple deadlines monthly.
  • Strong critical thinking and professional communication with coworkers and vendors.
  • Advanced skills with calendars, spreadsheets, and planning tools.
  • Meticulous attention to detail and accuracy.

Job description

Madison Magazine is seeking an organized and detail-oriented production coordinator to join our award-winning team. This is a part time role, offering 20 hours per week, estimated. This role’s primary objective will be to keep all elements of the print magazine product — including editorial articles, advertorial inserts, print ads and special projects — moving forward to ensure all deliverables reach the printer on time. The production coordinator will work between editorial, design, sales and marketing departments and be the point person for all communications with the printer and other magazine vendors.

What You’ll Do
  • Manage the production flow of all print magazine assets, including editorial, advertorial, print ads, and special projects
  • Coordinate across stakeholders in editorial, design, sales and marketing to ensure deliverables are finalized on time
  • Compile reports for printer, newsstand consultant, circulation auditors and other vendors
  • Contribute to audience, circulation, and customer service duties
  • Support all-hands-on deck projects at the magazine, including events, Best of Madison and other promotions
What You’ll Bring

    • Background in managing magazine circulation and audience development
    • Experience with content management systems (CMS) and web publishing
    • Familiarity with Microsoft Office 365 (Outlook, Teams, OneDrive)
