Job summary

Mid States Concrete Industries in South Beloit, IL seeks a Throughput Coordinator to support daily workflow from production planning through field installation. The role is split roughly 50/50 between production scheduling and field coordination.

You will work with Planning & Throughput, Engineering, Project Management, Production, QC, Yard, Shipping, Accounting, and Field teams to ensure products are scheduled, produced, and delivered per project requirements.

Qualifications

• High school diploma or equivalent.
• Associate degree in business, operations, construction, or related field.
• Experience in production scheduling, coordination, manufacturing, construction, or related operations.
• Precast concrete or field coordination experience.
• Strong Excel and computer skills; ability to read production schedules and project drawings; organized with strong communication and follow-through.
• Experience with EliPlan or similar production planning/scheduling software.

Responsibilities

• Daily Production Scheduling: maintain and update day-to-day Hollowcore production schedules in EliPlan; translate master schedule into actionable daily/weekly schedules; manage casting programs; adjust schedules when pieces are missed/delayed; escalate significant issues to leadership.
• Production Readiness: ensure drawings, approvals, materials, and information are ready for scheduled production; print and organize production documentation; prepare pouring packets; issue cutting sheets; revise sheets when changes occur.
• Production Follow-Through: verify production is recorded; reschedule missed/broken/scrapped pieces; ensure DRs are entered; assist with replacements; keep planning info updated; close jobs as needed.
• Reporting & Job Closeout: run reports; provide production data to Accounting; clean up records; complete production CECs; compile filler scrap data; support weekly/monthly reporting.
• Shipping & Field Preparation: create load tickets; coordinate shipment sequencing; verify complete orders prior to shipping; communicate missing materials to departments.
• Yard & Load Coordination: work with Yard to load trucks; ensure availability of products and installation materials; track pieces; resolve load vs field gaps.
• Field Materials & Equipment: inventory braces, shore jacks, sill plates; identify equipment needs; track reusable assets.
• Installation Packets: prepare complete packets for field foremen; ensure current drawings and load tickets; communicate revisions.

About the Role:

The Throughput Coordinator is responsible for supporting the daily flow of work from production planning through field installation.

This position works closely with the Manager of Planning & Throughput, Engineering, Project Management, Production, Quality, Yard, Shipping, Accounting, and Field teams to ensure products are scheduled, produced, prepared, and delivered in alignment with project requirements.

The position is approximately 50% production scheduling and throughput coordination and 50% field coordination.

Key Responsibilities:

Daily Production Scheduling

• Maintain and update day-to-day Hollowcore production schedules within EliPlan.
• Translate the master production schedule established by the Manager of Planning & Throughput into actionable daily and weekly production schedules.
• Prepare and maintain casting programs based on required production dates, delivery needs, bed availability, and established production priorities.
• Make routine schedule adjustments when pieces are missed, broken, scrapped, delayed, or affected by discrepancies.
• Adjust casting programs when production beds push or project delivery dates change.
• Identify replacement pieces and opportunities to maintain bed utilization when scheduled pieces cannot be produced.
• Communicate daily production schedule changes to Production, QC, Yard, Engineering, Project Management, and other affected departments.
• Maintain accurate production dates and backlog information within EliPlan.
• Identify upcoming schedule conflicts, missing information, capacity concerns, and production risks and **escalate** significant issues to the Manager of Planning & Throughput.

Production Readiness

• Review upcoming production to ensure required drawings, approvals, materials, and information are available prior to scheduled production.
• Print and organize production programs, drawings, product labels, cable labels, and other required production documentation.
• Complete pouring packets for QC, Production, pouring, and stripping operations.
• Issue cutting sheets and other production documentation required to complete jobs.
• Issue revised cutting sheets when pieces are scrapped or replacement pieces are required.
• Review jobs for production completion prior to shipping.
• Follow up with appropriate departments when missing information could impact scheduled production.
• Maintain appropriate stock levels and utilize existing stock whenever practical.

Production Follow-Through

• Confirm prior-day Hollowcore production is accurately recorded within EliPlan.
• Verify missed, broken, or scrapped pieces are identified and properly rescheduled.
• Confirm discrepancies and DRs are entered into EliPlan and update piece status as required.
• Assist Production and QC with identifying replacement pieces when production issues occur.
• Ensure production changes are reflected in future casting programs and planning information.
• Maintain EliPlan as jobs close, stock is consumed, pieces are added or removed, or production dates change.
• Review backlog dates regularly and correct outdated or inaccurate information.

Reporting & Job Closeout

• Run and maintain reports using EliPlan, Excel, and other internal systems.
• Provide production information and projections to Accounting for month-end and upcoming-quarter reporting.
• Remove excess square footage and unnecessary pieces from jobs when appropriate.
• Remove extra pieces and clean up production records to allow completed jobs to close.
• Complete production CECs as jobs close.
• Compile Hollowcore filler scrap information.
• Track Wetcast scrapped pieces for Accounting.
• Support the Manager of Planning & Throughput with weekly and monthly production reporting.

Shipping & Field Preparation

• Review project drawings, material lists, erection sequences, and schedules to create accurate load tickets for job-site delivery.
• Coordinate product shipment sequencing with Production, Yard, Shipping, Project Management, and Field teams.
• Review jobs to ensure required product and materials are complete prior to scheduled shipment.
• Identify missing materials, incomplete product, or other concerns ahead of delivery and communicate them to the appropriate departments.
• Coordinate production completion requirements with upcoming field installation dates.
• Communicate field-driven schedule changes that could impact production priorities to the Manager of Planning & Throughput.

Yard & Load Coordination

• Collaborate with the Yard team to ensure trucks are loaded according to approved load tickets, erection sequences, and delivery schedules.
• Verify required product and installation materials are available prior to shipment.
• Ensure flipped pieces are properly tracked, communicated, and followed through on.
• Help resolve discrepancies between planned loads, available product, and field requirements before scheduled delivery.
• Maintain communication between Yard, Production, and Field when shipping or installation requirements change.

Field Materials & Equipment

• Coordinate with Yard and Field teams to inventory braces, shore jacks, sill plates, and other installation equipment.
• Review upcoming projects to identify equipment and material requirements in advance of installation.
• Notify Project Management or Field Scheduling when additional equipment or rentals will be required.
• Track reusable materials and equipment assigned to job sites to reduce lost or unreturned assets.

Installation Packets

• Prepare and distribute complete installation packets for field foremen.
• Ensure packets contain current drawings, directions, load tickets, check sheets, sequences, and other required project information.
• Verify revised information is communicated when project requirements change.
• Ensure outdated drawings or documentation are removed and replaced with current revisions.

Qualifications

• High school diploma or equivalent
• Associate degree in business, operations, construction, or related field
• Experience in production scheduling, coordination, manufacturing, construction, or related operations
• Precast concrete or field coordination experience
• Strong Excel and computer skills; ability to read production schedules and project drawings; organized with strong communication and follow-through
• Experience with EliPlan or similar production planning/scheduling software
