Job summary

Aquent is seeking a Production Coordinator to support the internal creative team on-site in Carlsbad, CA. This 6‑month role (40 hours/week) aims to streamline project flow from concept to delivery across communications, executive offices, and scientific outreach.

You will coordinate intake, manage lifecycles with workflows, ensure timely asset delivery, and assist with basic print production. Ideal candidates have 3–5 years in creative/print coordination and strong communication skills.

Qualifications

  • 3–5 years of experience in coordination/traffic roles focused on creative, print production, or marketing.
  • Excellent written and verbal communication skills.

Responsibilities

  • Serve as the primary intake point for new projects and tasks.
  • Manage project lifecycles using workflow software, tracking progress and deadlines.
  • Maintain up-to-date status on all ongoing projects and deliverables.
  • Collaborate with artists and designers to ensure timely delivery of assets.
  • Perform basic print production tasks, including file prep for print and light trimming.
  • Organize and schedule team meetings to review progress and needs.
  • Maintain project documentation and information for active projects.

TITLE: Production Coordinator

LOCATION: On‑site in Carlsbad, CA

HOURS: 40 hours per week

DURATION: 6 months, with the potential to extend

Are you a master organizer with a keen eye for detail and a passion for enabling creative endeavors? We are seeking a highly motivated individual to join a dynamic team where your organizational prowess will be instrumental in bringing critical communications to life. In this role, you won’t just manage tasks; you’ll be the linchpin that ensures seamless project flow, from initial concept to final delivery, directly supporting internal communications, executive offices, patient advocacy, and scientific outreach. Your impact will be felt across every illustration, presentation, poster, and figure that helps convey complex scientific information, making a tangible difference in the pace and quality of groundbreaking research.

What You’ll Do
  • Serve as the primary point of contact for new project and task intake, efficiently managing requests received via digital communication platforms.
  • Drive project lifecycle management using specialized workflow software, setting up, tracking, and overseeing project progress and critical deadlines.
  • Maintain a proactive and comprehensive understanding of all ongoing project statuses and upcoming deliverables, ensuring timely and clear communication with all team members.
  • Facilitate smooth collaboration with artists and designers, coordinating efforts to guarantee the punctual delivery of high‑quality, finalized creative assets.
  • Execute fundamental print production tasks, including opening and preparing files for printing, and performing light trimming as needed.
  • Organize and schedule various meetings, including regular team gatherings to review project progress and address any emerging needs.
  • Manage and maintain essential documentation and information pertinent to all active projects, ensuring accessibility and accuracy.
What You Bring
  • Proven expertise and hands‑on experience with Adobe Workfront or similar programs
  • Exceptional organizational capabilities and an unwavering commitment to meticulous attention to detail.
  • A minimum of 3-5 years of experience in a coordination/project management/traffic role focused on creative, print production, or marketing.
  • Outstanding communication skills, both written and verbal, capable of clear and effective interaction.
  • Demonstrated ability to expertly manage multiple projects concurrently and prioritize tasks effectively in a fast‑paced environment.
  • A comfortable and proactive approach to working in a support‑oriented capacity, dedicated to fostering the success of creative and scientific teams.
  • Familiarity with fundamental print production processes, including file preparation for print (e.g., understanding trim marks).
  • Proficiency with widely used office productivity suites and communication platforms.
  • Experience with large format printing is a nice‑to‑have
