Job summary

Entertainment Technology Partners in Las Vegas, NV is seeking an Administrative Support professional for a full-time role focused on quoting and financial operations. You will partner with Account Executives to build and maintain project quotes, drive accurate invoicing, and ensure smooth communication across teams.

Ideal candidates have 2–3 years of administrative experience, strong communication skills, and a keen eye for detail.

Responsibilities

  • Build, update, maintain project quotes with Account Executives.
  • Input additions, update opportunity stages, and confirm project details through the sales process.
  • Implement requested changes and communicate updates to the appropriate internal teams.
  • Review technician expense reports with Account Executives and help finalize billing activities.
  • Complete final invoicing within established timelines.
  • Support the accuracy of deposits, invoicing, certificates of insurance, and collections activities.
  • Coordinate cross-functional communication to resolve questions related to quotes, contracts, and client needs.
  • Document the lifecycle of each opportunity and ensure information is communicated.
  • Manage project costs and margins by following established processes.
  • Coordinate labor requirements and scheduling updates with labor planning teams.
  • Assist with equipment-related requests, including add orders and substitutions.

What You'll Do
Support Project Development and Quoting
  • Partner with Account Executives to build, update, and maintain project quotes.
  • Input additions, update opportunity stages, and confirm project details throughout the sales process.

Help Drive Accurate Financial Operations
  • Review technician expense reports with Account Executives and help finalize billing activities.
  • Complete final invoicing within established timelines.
  • Support the accuracy of deposits, invoicing, credit applications, certificates of insurance, and collections activities.
Coordinate Cross-Functional Communication
  • Work with Account Executives, Account Managers, and internal departments to resolve questions related to quotes, contracts, and client needs.
  • Help ensure project information is properly communicated and documented throughout the lifecycle of each opportunity.
Manage Project Details and Resources
  • Support project cost and margin management by following established processes and procedures.
  • Coordinate labor requirements and scheduling updates with labor planning teams.
  • Assist with equipment-related requests, including add orders, substitutions, and related project adjustments.
