Qualifications

POSITION SUMMARY

The Procurement & Pantry Lead serves as the operational leader of Snoqualmie Valley Food Bank's pantry, warehouse, and daily food distribution activities. This position coordinates pantry operations, food flow, inventory movement, food procurement execution, receiving, retail food rescue, volunteer work activities, and community food distribution events. Working closely with the Executive Director, the Procurement & Pantry Lead ensures food moves safely, efficiently, and with dignity from receipt through distribution while supporting staff, volunteers, and clients. This is a working lead position that provides day-to-day operational leadership but does not have responsibility for hiring, discipline, performance evaluations, budgeting, procurement strategy, or departmental administration.

DUTIES AND RESPONSIBILITIES

Pantry & Food Distribution Operations

Coordinate the daily operation of the client choice pantry and all food distribution activities.

Ensure pantry readiness before each service window.

Coordinate opening and closing procedures.

Maintain organized, attractive, and well-stocked pantry shopping areas.

Ensure an efficient, safe, and dignified client shopping experience.

Coordinate client choice shopping, pre-packed food boxes, senior food distributions, mobile pantry support, and special food distribution events.

Coordinate volunteer work assignments supporting pantry and warehouse operations.

Oversee sorting donated food, repacking dry food products, building meal kits and food boxes, stocking shelves, processing retail food rescue donations, receiving and staging food, warehouse organization, preparing food for community events, and salvaging unusable products.

Maintain a clean, organized, safe, and welcoming pantry and warehouse.

Recommend operational improvements that enhance food distribution efficiency, volunteer engagement, inventory management, and client experience.

Food Procurement & Food Flow

Execute approved food purchasing activities and prepare food orders based on purchasing plans established by the Executive Director.

Submit food orders to approved vendors in accordance with agency purchasing procedures.

Coordinate delivery schedules with vendors and food donors.

Receive, inspect, verify, document, date, label, and properly store incoming food deliveries.

Oversee daily movement of food from receiving through warehouse storage and pantry distribution.

Maintain FIFO inventory practices.

Monitor inventory levels and provide recommendations regarding purchasing needs, inventory shortages, product utilization, and operational improvements to the Executive Director.

Coordinate retail food rescue pickups and food donation receiving activities.

Maintain receiving and inventory documentation.

Assist with inventory counts and reconciliation.

Identify opportunities to improve food flow, warehouse organization, receiving efficiency, and inventory management.

Coordinate retail food rescue routes and donation pickups.

Inspect donations for quality, food safety, and compliance.

Coordinate volunteers assisting with donation processing.

Monitor donation trends and provide recommendations to the Executive Director regarding food sourcing opportunities, inventory needs, and operational improvements.

Warehouse Operations Leadership

Provide day-to-day operational leadership and direction to Distribution & Pantry Associates.

Coordinate daily work assignments, priorities, and workflow to support efficient warehouse and pantry operations.

Train employees and volunteers on pantry procedures, food safety requirements, warehouse operations, safe equipment use, and established best practices.

Provide ongoing coaching and guidance related to operational procedures, workflow, safety, and service standards.

Ensure compliance with agency food safety procedures, partner requirements, and established health and safety practices.

Maintain sanitation standards throughout warehouse, pantry, and food storage areas.

Promote compliance with applicable OSHA/WISHA safety requirements and safe operation of warehouse equipment.

Identify and promptly report workplace hazards, safety concerns, incidents, and equipment or maintenance needs.

Maintain organized warehouse storage areas and support accurate inventory management, product rotation, and proper food handling.

Monitor inventory accuracy and identify opportunities to improve storage, organization, workflow, and overall warehouse efficiency.

Identify operational challenges and opportunities for improvement and make recommendations to the Executive Director.

QUALIFICATIONS AND JOB REQUIREMENTS

Ability to manage multiple priorities and workflows in a fast-paced nonprofit environment.

3+ years of experience in food banking, warehouse operations, logistics, inventory management, grocery operations, or related fields.

Proficiency with Microsoft Office Suite, Excel, Google Workspace, databases, and organizational systems.

Valid Washington State driver's license.

Ability to operate agency vehicles.

Ability to maintain confidentiality and exercise sound judgment.

WORK ENVIRONMENT & PHYSICAL REQUIREMENTS

This position operates within office, pantry, warehouse, and community environments.

Knowledge of warehouse operations, inventory management, and food safety.

Lifting up to 50 pounds regularly and 75 pounds with assistance.

Stand, walk, bend, kneel, reach, and work in refrigerated environments.

Operate pallet jacks, carts, and agency vehicles.

Position may occasionally support events, volunteer activities, or operational functions outside normal office settings.
