Job summary

Kansas Department of Health and Environment is seeking an Administrative Specialist (K0221806) to oversee and maintain the central file of payment vouchers and the Division file room. You will process payment vouchers, expense reports and interfunds, ensuring accurate filing for audit and annual purge to archive.

The role also handles monthly payment uploads and vendor interactions. Responsibilities include reviewing vouchers for Migrant Farmworker and Cancer programs, handling escheated checks,

Qualifications

  • Two years of experience in general office, clerical, and administrative support work. Education may be substituted for experience as determined relevant by the agency.
  • High School, GED
  • One year of experience in accounting/auditing support work
  • 2 years’ experience working with State of Kansas accounts payable and travel reimbursements.
  • Knowledge of the Statewide Management Accounting and Reporting Tool (SMART) system
  • Knowledge of Division of Accounts and Reports and Division of Purchase policies and procedures
  • Word, Excel, PowerPoint, Access
  • Proofreading, editing, attention to detail
  • Excellent oral and written communication
  • Experience utilizing a personal computer
  • Ability to multi-task and manage several projects at one time

Responsibilities

  • Adds new suppliers and updates supplier information as needed in SMART.
  • Monitors the Fiscal Help Desk email box and responds to vendor inquiries regarding payments received, set off notices or other accounts payable issues.
  • Sorts and distributes mail delivered by Central Mail twice daily. Mail is sorted and placed in the appropriate bureau mailbox to be picked up by designated agency staff.

Position Summary & Responsibilities

The Administrative Specialist position K0221806 will serve as one of two records retention officers for the Division of Management and Budget, overseeing and maintaining the central file of payment vouchers and Division file room. Processed payment vouchers, expense reports and interfunds are filed daily. All documents are filed accurately so that they can be easily retrieved and/or produced during the annual agency audit. All payment vouchers are purged from the central file at the end of each fiscal year and moved to the Division file room. Division room vouchers are boxed, labeled appropriately and sent to the appropriate records storage vendor. Retrieves records from storage as requested.

Upload 300-400 payments for State Supplemental Payment Program monthly. Work with the program throughout the month to make sure these are taken care of properly. Tasks include adding new suppliers, address changes, tracking payments and following up on returned checks.

Job Responsibilities may include but are not limited to the following:

Qualifications
  • Licensing & Certification:
    • Valid Driver's License - Incumbent is required to have and maintain a valid driver's license when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State.
  • Minimum Qualifications:
    • Two years of experience in general office, clerical, and administrative support work. Education may be substituted for experience as determined relevant by the agency.
  • Preferred Qualifications:
    • High School, GED
    • One year of experience in accounting/auditing support work
    • 2 years’ experience working with State of Kansas accounts payable and travel reimbursements.
