Job description

Job Title: Process Improvement Associate

Monthly Pay: $3,741 - $5,558 USD per month

Summary:

This role supports process improvement by reviewing routine workflows and identifying delays, repeated steps, and unclear handoffs. It helps the operations team make everyday work more consistent through practical changes and clear instructions. The associate works under an operations team lead and works with process owners, administrative colleagues, and staff who use the workflows. This is a fully remote, desk-based position offering work from home in Virginia, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities:
  • Receive improvement requests through an internal task queue and email, then record the workflow involved, reported difficulty, request owner, and expected outcome.
  • Check each request for missing context, duplicate entries, and unclear steps before asking the requester for additional information needed to begin the review.
  • Review existing instructions and ask staff how work moves between teams, noting waiting periods, repeated effort, and points where responsibility becomes unclear.
  • Build simple workflow diagrams in a diagramming tool such as Lucidchart, showing the current sequence and checking its accuracy with the process owner.
  • Compare routine turnaround figures and error counts with agreed starting measures, using approved internal reports rather than assumptions about how work happens.
  • Suggest small changes that remove unnecessary steps or clarify handoffs, explaining the expected improvement and any questions that need a team lead decision.
  • Track assigned improvement tasks in a project management platform such as Trello, keeping owners, due dates, dependencies, and review comments current.
  • Support approved trials by updating draft instructions, recording staff feedback, and comparing trial results with the original workflow before recommending further review.
  • Follow up on overdue updates and unresolved questions; elevate conflicting instructions, blocked tasks, or unexpected results to the operations team lead.
  • Maintain final workflow notes and change summaries for handoff. Quality is judged by accuracy, turnaround, complete notes, and consistent follow-up on assigned actions.
Qualifications:
  • High school diploma or equivalent.
  • No experience required; related experience supporting operations, reviewing workflows, or assisting with improvement tasks is preferred.
  • Basic understanding of how tasks, handoffs, waiting time, and repeated steps affect the consistency of an administrative workflow.
  • Familiarity with introductory Lean Management, Kaizen, and process optimization concepts; the ability to learn through guided examples and feedback.
  • Ability to read workflow diagrams, compare simple performance measures, and separate observed facts from assumptions when reviewing a process.
  • Comfort learning the named systems, maintaining task updates, and creating clear diagrams without changing an approved workflow independently.
  • Clear written and verbal communication for asking focused questions, explaining observations, and confirming instructions with colleagues who perform the work.
  • A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
  • Authorization to work in the United States.
  • Fully remote work from home in a desk-based operations role.
  • Structured onboarding and training on the named systems, workflow review methods, and task handoff practices.
  • Regular check-ins with the team lead to review priorities, questions, and feedback.
  • Opportunities to build workflow analysis, process optimization, and practical improvement skills through guided assignments.
  • Health coverage, paid leave, a 401(k), maternity leave, and stipends.
