Job summary

Chelan County District Court Probation seeks a detail‑oriented Probation Clerk to provide clerical and administrative support to probation officers and the probation director. The role involves handling highly confidential documents, maintaining case files, and accurate entry of probation data into the Enterprise Supervision system.

The clerk will manage a caseload and interact with defendants, law enforcement, judges, and the public.

Qualifications

• High school diploma or GED required.
• An associate degree in judicial, public, or business administration—or a related field is preferred.
• At least one year of office experience in clerical, legal, financial, or business administration is required.
• Bilingual proficiency in English and Spanish is highly desirable.
• Must maintain strict confidentiality and interact professionally with diverse populations.

Responsibilities

• Receives and reviews court-ordered referrals for probation and related services.
• Enters cases and offender information into the case management system.
• Gathers offender background information from multiple databases.
• Assigns cases to probation officers and schedules appointments.
• Maintains confidentiality in all matters and monitors caseloads.
• Receipts probation fees and reconciles cash drawer daily.
• Prepares billing and collection accounts as directed.
• Closes files and manages physical and electronic records per state rules.
• Monitors educational courses and tracks attendance and verifications.
• Interacts with offenders, attorneys, judges, law enforcement, and the public.
