Responsibilities
  • Supervise and mentor probate paralegals and legal assistants, assigning tasks, monitoring performance, and ensuring high-quality work in compliance with Florida probate laws.
  • Oversee case workflows, coordinating with attorneys to align probate processes with client needs and legal requirements.
  • Review and ensure accuracy of probate documents, such as petitions, inventories, accounting, and distribution plans, maintaining compliance with court standards.
  • Maintain client relationships by providing empathetic, transparent communication, addressing inquiries, and managing sensitive issues like beneficiary disputes or bereavement.
  • Monitor case deadlines and court schedules to ensure timely filings and adherence to probate timelines.
  • Develop and implement protocols for document preparation, file management, and quality control to enhance efficiency and accuracy.
  • Conduct training for probate team members on best practices, legal standards, and firm procedures to support professional development.
  • Collaborate with estate planning and elder law teams to provide integrated support for clients with complex legal needs.
Qualifications
  • Bachelor’s degree in Legal Studies, or a relevant field (or equivalent experience); advanced certification (e.g., paralegal certificate) preferred.
  • 3–5 years of experience in probate administration, legal operations, or a related supervisory role in a law firm.
  • In-depth knowledge of probate processes, estate administration, and Florida probate laws.
  • Proven experience supervising or mentoring legal support staff, preferably paralegals.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and case management software.
  • Exceptional organizational and leadership skills with strong attention to detail.
  • Excellent written and verbal communication skills for team, client, and court interactions.
  • Ability to lead and multitask in a fast-paced, team-oriented environment.
