Job description

Summary:

The Production Scheduler is responsible for creating and maintaining efficient production schedules to ensure timely job completion in a wide-format print environment. This role coordinates across departments to align schedules, resolve delays, and optimize workflows. Using tools such as PrintFlow Dynamic Scheduling, the scheduler monitors job progress, reallocates resources as needed, and communicates updates to internal teams.

Schedule:

1st shift, eight or more hours per day, five or more days per week based on business needs. Primary schedule will be 8:00 AM – 4:30 PM, Monday-Friday, or similar. This is an on-site position requiring the employee to be present physically. Training may occur on other shifts.

Salary Range: $60,000 to 80,000 Annually

Compensation is commensurate with experience.

Essential Duties and Responsibilities include the following:
  • Develop and maintain daily, weekly, and long-term production schedules based on customer demand, resource availability, and production capacity.
  • Conduct daily meetings with managers, supervisors, and lead staff to align on priorities and expectations.
  • Monitor the status of all jobs in production to ensure on-time completion, identifying and resolving delays or bottlenecks.
  • Coordinate with prepress, press, finishing, and shipping teams to align schedules and optimize workflow efficiency.
  • Allocate materials and personnel based on job requirements and production priorities.
  • Communicate job specifications, timelines, and changes clearly to all stakeholders, including sales, customer service, and production teams.
  • Maintain accurate records of job progress, delays, material usage, and resource allocation using production management software.
  • Collaborate with purchasing and inventory teams to ensure availability of required paper stocks, inks, and other materials.
  • Serve as the primary owner and implementer of Printflow scheduling software.
  • Provide procurement support as needed.
  • Act as the primary contact for outsourced and Turnkey projects.
  • Assist with continuous improvement initiatives to enhance scheduling practices, reduce waste, and improve turnaround times.
  • Respond to last-minute changes, rush jobs, and customer revisions with flexibility and efficiency.
  • Complete and maintain all required paperwork, records, documents, etc.
  • Regularly perform general housekeeping duties in your work area(s).
  • Adhere to all safety policies and protocols and maintain a safe working environment.
  • Attend all department/company meetings, as requested.
  • Other duties as assigned.

Experience And Qualifications:

EDUCATION, LICENSES, CERTIFICATIONS, EXPERIENCES:

  • Three (3) to five (5) years’ experience of production scheduling in printing.
  • Bachelor’s degree or experience in Business Administration, Production Management, Scheduling, or a related field.
  • Advanced proficiency in Scheduling software (PrintFlow Dynamic Scheduling) and other productivity tools.

CRITICAL KNOWLEDGE, SKILLS, AND ABILITIES REQUIREMENTS:

  • Strong knowledge of wide-format print production processes.
  • Proactively identify and recommend process improvements to enhance efficiency, reduce waste, and support operational excellence.
  • Effectively communicate orally with all members of the internal organization as well as external customers.
  • Adaptable skillset to work within a fast-paced, entrepreneurial business environment.
  • Ability to work independently or in a team environment.
  • Detail-oriented, accuracy focused, and organized work ethic including efficient time management skills, with proven track record of completion of tasks/assignments.

Holidays and PTO:

  • Accumulating PTO to be used after 90-days of continuous and active full-time service.
