Job summary

Northeast Health Services, a member of Transformations Care Network, seeks a Prescriber Medical Administrative Assistant (Medical Assistant) to support clinicians and prescribers in a fast-paced mental health setting. You will handle calls, scheduling, patient inquiries, and EMR documentation with HIPAA compliance and professional conduct.

Ideal candidates bring excellent communication, detail orientation, and empathy for patients facing anxiety and depression.

Qualifications

• High school diploma or equivalent
• Detail oriented and highly organized with strong time management
• Professional appearance and demeanor interfacing with patients and teammates in a mental health setting
• Excellent written and verbal communication, teamwork under stress
• Patient and empathetic attitude, adaptable and flexible
• Computer skills with Microsoft applications
• Phone systems experience
• Maintain patient confidentiality
• Customer service skills
• Safe, productive work environment per policies
• Ability to complete other office tasks as needed
• CPR certification or willingness to certify within 6 months
• Experience as a Medical Assistant (Preferred)
• Experience in Medical Office or call center (Preferred)
• Experience verifying insurance, obtaining pre authorizations and scheduling (Preferred)
• Familiarity with HIPAA regulations (Preferred)
• EMR, medical terminology, clinical pharmacology basics (Preferred)
• Data entry skills (Preferred)
• Experience with patients with anxiety and depression (Preferred)
• Exceptional interpersonal, rapport building, and active listening (Preferred)

Responsibilities

• Answer calls professionally and respond to voicemails promptly
• Guide patients through troubleshooting for telehealth applications and portals
• Process medication prior authorizations
• Provide administrative support to providers and complete required paperwork
• Answer questions about the practice and services
• Collaborate with team members to resolve patient issues
• Coordinate care between patients and providers
• Manage patient scheduling and collect financial information
• Complete documentation in EMR accurately
• Support regulatory compliance and licensure maintenance
• Handle medication refill processes
• Train new team members as needed
• Track paperwork for patient files
• Follow on-site medication handling processes
• Potentially train in Interventional Treatment support
• Maintain dependable attendance and notify about tardiness/absence
• Support clinicians and prescribers in waitlist management
• Maintain professional dress code (business casual)
• Comply with state and federal regulations
• Attend trainings and required meetings
• Perform other duties as assigned
