Job summary

SouthWood Corporation is a 55-year-old, turn-key sign company delivering quality project support across the sales and operations teams. The Preconstruction Development Coordinator role focuses on keeping quotes, customer data, and project information moving smoothly and accurately.

This position collaborates with Sales, Project Management, Design, Estimating, and Operations to maintain organized workflows, timely communication, and strong customer service throughout the lifecycle of each project.

Qualifications

• 1–3 years of administrative, sales support, customer service, coordination, or office experience preferred.
• Strong organizational and communication skills.
• Comfortable managing multiple tasks and priorities.
• Detail-oriented with good follow-through.
• Proficient with Microsoft Office programs including Outlook and Excel.
• Experience with CRM or ERP systems preferred but not required.
• Ability to work in a fast-paced, team-oriented environment.

Responsibilities

• Enter and maintain customer and project information in Epicor and HubSpot.
• Assist with moving quotes and opportunities through Design and Estimating workflows.
• Support quote preparation, proposal assembly, and sales documentation.
• Coordinate client meetings, follow-up communication, and scheduling.
• Respond to customer requests and assist with general client communication.
• Complete customer and vendor prequalification paperwork and onboarding forms.
• Maintain organized project files, pipeline updates, and CRM records.
• Assist with tracking project charters, action items, and project communication.
• Help coordinate quick-turn and smaller project opportunities.
• Support data management and reporting for the Sales Team.
• Collaborate with internal departments to help keep projects and opportunities moving forward.
