Job summary

Mattox Plumbing in West Allis, WI seeks a detail‑oriented Preconstruction Administrator to support the pre-construction phase by creating and organizing project files, bid packages, permit submissions, and change order requests.

You will assist project managers, maintain databases, prepare startup kits, coordinate with subcontractors, and help produce accurate project documentation, reports, and meeting notes to keep projects on track.

Qualifications

• Education: High School Diploma, GED, or proven work experience.
• Experience: Construction Industry with background in estimating or project management.
• Technology/Equipment: Computer skills including email, group calendars & Microsoft programs; QuickBooks, Condocs and Google Applications are a plus.

Responsibilities

• Assist with plan and specification distribution, printing needs, creating binders & labels, and files estimates.
• Maintain and expand database software as well as set up for initial project bidding.
• Create project startup kits and organize project plans, specifications and other project documentation.
• Uploads and organizes project plans, specifications and other project documentation including project set-up, photos, contacts, notifications, meeting minutes and creating a submittal register/log into project management software.
• Contact sub-contractors via phone and email to confirm bids.
• Write, update, and submit contracts and sub-contract agreements.
• Establish and maintain databases for project records and correspondence.
• Create Excel spreadsheets for bid forms, data, and comparisons.
• Update data and set up new estimates in multiple software programs.
• Additional duties as directed by the management team.
• Maintains subcontractor prequalification data.
