Job summary

Eastern Lift Truck Co. is seeking a Pre-Closing Processor who can manage the pre-closing lifecycle for real estate transactions while coordinating with lenders, attorneys, and buyers. The role supports settlement readiness and file management using Qualia.

The ideal candidate brings 2+ years of title experience in FL/MD/VA, knowledge of ALTA guidelines, and proficiency with Qualia or similar platforms. This position offers remote work within Virginia or on-site presence at our Fairfax, VA office.

Qualifications

• 2+ years of Florida, Maryland, or Virginia real estate title experience.
• Knowledge of real estate guidelines, ALTA Best Practices & title insurance regulations.
• Proficiency with Qualia (transaction management software) or similar real estate transaction platforms.

Responsibilities

• Build and maintain relationships with realtors, lenders, attorneys, builders, and clients throughout the pre-closing lifecycle, serving as the primary point of contact from post-contract through settlement.
• Act as liaison between all transaction parties - proactively reaching out to lenders, buyers, and attorneys to collect title commitment requirements, payoff statements, HOA estoppels, and outstanding contract conditions.
• Open and manage new purchase and refinance files in Qualia, including data entry, document uploads, task tracking, and status updates to ensure files are settlement-ready.
• Communicate order status and document requests to internal closers and external parties via Qualia’s messaging and task tools, maintaining accurate and timely file notes throughout the process.
• Coordinate scheduling of closings in collaboration with the closing team, confirming dates and times with all required parties and circulating calendar confirmations.
• Identify and elevate pre-closing title issues, lien discrepancies, or outstanding conditions to the appropriate team member for resolution.
• Collect and review initial buyer/seller intake documentation and confirm accuracy against contract terms prior to file handoff to the closing team
• Support scheduling and administrative coordination as needed during peak periods
• Other administrative tasks as assigned by manager
• Adherence to company safety standards and help promote a safe working environment for all employees & clients
