RWJBarnabas Health is seeking a Practice Specialist I to support onboarding of acquired practices, location changes, mergers, and expansions at the IT&S Medical Group Support level. The role involves data collection, project coordination, data conversion assessments, and Epic Build Requests for ambulatory settings.

You will participate in leadership and project meetings, support new Epic-driven processes, and help practice resources maximize Epic functionality while maintaining standard

Qualifications

  • Associates degree with 2+ years of relevant work experience.
  • 1-2 years relevant experience working in a healthcare setting.
  • Proficiency with Microsoft Office Suite (Outlook, PowerPoint, Word, Excel)

Responsibilities

  • Liaise with Epic build teams and stakeholders for ambulatory onboarding activities.

Job Summary

The Practice Specialist supports the onboarding of acquired practices, practice location changes, mergers, and expansions. This includes initial practice assessments and data collection, acquisition project coordination, data conversion assessments and overall management of Epic Build Requests related to Ambulatory. The individual is assigned both pre and post go-live tasks related to ambulatory projects. The Practice Specialist may also provide support and workflow re-enforcement to practice resources and providers in the ambulatory practice settings. Examples include but are not limited to assisting with support on daily processes, workflow enforcement, standard practice protocols and system functionality. Process improvement will be an outcome as we support initiatives needing assistance for optimal workflow and standardization via project management. Practice Specialist will help to drive process improvement.

As a Practice Specialist, a Typical Day Might Include
  • Serve as a liaison with Epic build teams and operational stakeholders for ambulatory onboarding activities, including initial practice assessments, data collection, project coordination, data conversion assessments, and Epic Build Request items.
  • Participate in practice leadership meetings, project workgroups, acquired-practice planning meetings, and EpicTogether meetings as needed to support collaboration and excellent customer service.
  • Assist with the planning and execution of new Epic-driven processes that support practice operations, onboarding, growth, and future-state workflow needs.
  • Work independently on routine assignments while helping practice resources strengthen knowledge, workflow understanding, and problem-solving abilities.
  • Identify, recommend, and support process improvement opportunities that enhance workflow efficiency, standardization, and practice performance.
  • Follow established processes for identifying, tracking, resolving, and closing issues in a timely and organized manner.
  • Manage multiple activities simultaneously, prioritize effectively, and meet overlapping deadlines in a fast-paced environment.
  • Provide hands-on support to customers regarding Epic workflows, applications, and new functionality, including observing and evaluating current-state workflows to promote standardization and reinforce best practices as needed.
  • This includes supporting practices in maintaining policies and procedures related to Epic use, computerized documentation, and standardized operational workflows.
  • Maintain current knowledge of Epic applications, relevant technology, equipment, systems, and best-practice workflows.
  • Promote awareness of and access to education and training programs that help practice resources maximize Epic functionality and workflow adoption.
  • Perform other duties as assigned or directed by management.

Education Required
  • Associates degree with 2 or more years of relevant work experience
  • 1-2 years relevant experience working in a healthcare setting
  • Proficiency with Microsoft Office Suite (Outlook, PowerPoint, Word, Excel)
Experience Preferred
  • 1-2 years of experience with EHR System Implementation & Practice Acquisitions
  • Preferred work experience in Ambulatory setting including medical group or physician's office.
  • Epic electronic system application experience a plus
