About the Role
We are a premier, low volume surgical and aesthetic practice seeking a highly adaptable Practice Operations Assistant . This is a unique, hybrid position designed for a professional who wants to master the business and operational side of a private medical practice.
Working directly alongside our Surgical PA, and Practice Manager, you will learn the complete lifecycle of a private practice: from revenue cycle management to clinical workflow efficiency. You will act as the operational glue of the office, seamlessly transitioning between securing surgical authorizations, preparing clinical suites, and supporting the front desk.
Note: This role is designed for candidates looking to build a long-term career in healthcare administration, practice management, or medical operations. It is not intended for candidates seeking temporary clinical contact hours for medical, PA, or nursing school.
Key Responsibilities
Clinical Workflow & Facility Operations (PA & Surgeon Support)
- Autoclave and sterilize surgical and cosmetic instruments, maintaining strict adherence to OSHA and infection control protocols.
- Prepare, stock, and turn over the surgical suite and exam rooms efficiently between patients.
- Room patients for the Surgical PA (Botox, laser, and post-op visits), ensuring the provider has everything needed for a seamless appointment.
- Manage clinical inventory, tracking expiration dates and alerting management when supplies run low.
Front Office & Patient Experience (Practice Manager Support)
- Act as the primary float and backup for the Practice Manager to ensure continuous, high-end patient service.
- Answer multi-line phones, triage patient questions, and schedule consultations or follow-up appointments.
- Assist with patient check-in/check-out, consent forms, and payment collection during high-volume hours.
- Serve as the primary point of contact for surgical prior authorizations, navigating insurance portals and advocating for peer-to-peer reviews when necessary.
- Track authorization statuses meticulously and communicate updates to the Surgeon, surgical facility, and patient.
- Assist in coordinating surgical schedules, ensuring all pre-operative documentation and clearances are collected and filed.
Qualifications & Ideal Profile
- Education: High school diploma. (We believe a willingness to learn is more important than a degree. In your cover letter please describe something that you are currently passionate about learning. )
- Experience: No experience needed, but prior work experience anywhere is helpful.
- Skills:
- Willingness to be trained on clinical protocols (e.g., sterilization, sterile fields, rooming).
- Self-Starter: We expect that if you come in with no experience, you will take charge of your own learning. Our rule is "AI first"-we expect you to consult tools like Gemini or Google to try to find the answer, and then come to the appropriate team member for clarification.
- System-Oriented: A natural desire to help people be more efficient and organize workflows.
