Job description

The Role
We’re looking for a

The Role
We’re looking for a compassionate, organized, tech-savvy, and highly motivated Patient Care Coordinator to join our growing practice.
This is more than a front desk position. We are looking for someone who wants to grow with our company, take on increasing responsibility, and potentially advance into a Practice Manager role.
You’ll begin by learning the day-to-day operations of our front office, patient coordination, scheduling, and administrative systems. As you demonstrate reliability, initiative, leadership, and a strong understanding of the practice, there will be opportunities to take on additional responsibilities and grow into a larger operational role.
We are a small, close-knit, family-oriented team, so every person we hire is a vital part of our practice. We want someone who works well with others, is willing to jump in where needed, and genuinely wants to become part of the team.
Just as importantly, we want someone who enjoys working with people. Our patients are not numbers—we strive to build lasting relationships with the people who trust us with their care, and this position plays a major role in creating that experience.
What You’ll Do

  • Welcome patients with professionalism, compassion, and warmth.
  • Build strong, lasting relationships with patients throughout their care.
  • Manage scheduling, patient check-ins/check-outs, and payment collection.
  • Coordinate patient care, including MRI orders, prescriptions, referrals, records, and follow-up communication.
  • Maintain accurate patient charts and process documents efficiently.
  • Manage a high volume of phone calls, emails, faxes, and administrative tasks.
  • Assist physicians with procedures and treatments when needed.
  • Help patients obtain medical records and imaging results.
  • Educate patients about available services and help coordinate appropriate treatment options.
  • Use technology and AI tools to improve efficiency, organization, communication, and daily workflows.
  • Identify opportunities to improve office systems and the overall patient experience.
  • Help maintain an organized, welcoming clinic, including supplies, treatment rooms, snack/coffee areas, laundry, and room resets.
  • Take on additional responsibilities as your knowledge of the practice and leadership abilities grow.
What We’re Looking For:
We are looking for someone who wants to build a career with us, not simply fill a position.
The right person will be:
  • Reliable, trustworthy, accountable, and self-motivated.
  • A strong team player who works well in a small, collaborative environment.
  • Friendly and personable with a genuine desire to build relationships with patients.
  • Highly organized with excellent attention to detail.
  • Able to multitask and prioritize when several things need attention at once.
  • A fast and accurate typist who can efficiently manage documentation and communication.
  • Tech-savvy and comfortable learning new software and systems.
  • Willing and eager to incorporate AI into their workflow and learn new ways to improve efficiency.
  • Comfortable taking initiative and solving problems independently.
  • Able to follow detailed instructions while also knowing when to ask questions.
  • Open to feedback and motivated to continuously improve.
  • Interested in developing leadership skills and taking on greater responsibility over time.
  • Positive, adaptable, and willing to help wherever needed.
Required:
  • Minimum 2** years of experience** in a medical office, healthcare administration, or medical reception role.
  • Strong computer and typing skills.
  • Comfort working with multiple software platforms and learning new technology.
Preferred but not required:
  • Familiarity with regenerative medicine or non-surgical orthopedics.
  • Phlebotomy certification.
  • Experience with Tebra (Kareo) or similar EHR software.
  • Previous experience with AI productivity tools.
Growth Opportunity
Our goal is to find someone who can become a long-term and vital member of our practice.
This position is designed to begin with front desk and patient coordination responsibilities, with the opportunity to develop into a Practice Manager position as you demonstrate mastery of clinic operations, strong leadership, reliability, initiative, and the ability to help the practice operate efficiently.
We want to invest in someone who is equally interested in investing their time and talents into helping our practice grow.
Our Team
We are a small, close-knit team of two full-time and two part-time employees, which means every team member matters.
We value communication, collaboration, flexibility, accountability, and a can-do attitude. There may be days when everyone needs to step outside of normal responsibilities to help another team member or keep the clinic running smoothly.
We think of our team as a work family and are looking for someone who wants to become an important part of it.
Why Join Us?
  • Clear opportunity for professional growth and increased responsibility.
  • Potential advancement into a Practice Manager role.
  • Become a vital member of a small, supportive team where your contributions are noticed.
  • Build meaningful, long-term relationships with patients.
  • Learn about innovative regenerative and non-surgical orthopedic treatments.
  • Develop valuable skills in healthcare operations, technology, AI, and practice management.
  • Have a voice in improving systems, workflows, and the patient experience.
  • Work in a compassionate, patient-centered healthcare environment.
