Practice Manager – Primary Care Operations
Location: Southern New Hampshire (Multi-Site)

Position Summary
A growing healthcare organization is seeking an experienced, operations-focused Practice Manager to lead a multi-site primary care practice in Southern New Hampshire.
This leadership role is responsible for evaluating current operations, identifying opportunities for improvement, and implementing efficient workflows, technology solutions, and performance standards across multiple practice locations. This is not a clinically focused position, and a clinical license is not required.
The ideal candidate is a collaborative leader with strong experience in healthcare operations, process improvement, technology optimization, team leadership, and change management. Experience in a primary care or ambulatory healthcare setting is highly preferred.
Practice Operations & Operational Excellence
- Evaluate existing workflows, staffing models, communication processes, task ownership, and technology utilization across multiple practice locations.
- Identify operational bottlenecks, inefficiencies, duplicated work, and gaps in accountability, then implement practical and sustainable solutions.
- Standardize workflows, policies, and operating procedures to improve efficiency, consistency, quality, and patient service.
- Oversee daily practice operations, staffing coverage, patient flow, and operational readiness while leading ongoing process improvements.
Technology & Workflow Optimization
- Optimize the use of electronic health records (EHR) and other technology solutions to improve efficiency, communication, and accountability.
- Improve workflows involving scheduling, patient messaging, referrals, prescription requests, telephone encounters, document management, and task queues.
- Identify opportunities to automate repetitive processes and establish clear ownership and completion standards.
- Coordinate employee training and partner with leadership, IT resources, and vendors to resolve workflow or technology issues.
- Provide leadership to clinical support staff, patient service representatives, referral coordinators, and administrative personnel while collaborating closely with providers.
- Establish clear expectations for productivity, accountability, professionalism, patient service, and quality.
- Conduct regular staff meetings, coaching sessions, performance evaluations, and individual development discussions.
- Support recruiting, onboarding, training, cross-training, employee development, and performance management in partnership with Human Resources.
- Improve workload distribution so providers and staff can work at the top of their roles.
- Optimize appointment access, scheduling, patient flow, telephone responsiveness, and patient communications.
- Establish service standards for patient messages, referrals, forms, laboratory results, and other patient requests.
- Address patient concerns professionally while using provider, employee, and patient feedback to drive continuous improvement.
Performance Management & Compliance
- Monitor key performance indicators related to patient access, operational efficiency, staffing, productivity, responsiveness, and patient satisfaction.
- Analyze operational data to identify trends, establish priorities, develop action plans, and report progress to executive leadership.
- Ensure compliance with HIPAA, OSHA, infection control, and organizational policies and procedures.
- Support quality improvement initiatives, audits, inspections, and corrective action plans.
Required Qualifications
- Minimum of five years of experience in healthcare operations, ambulatory care, medical practice management, or a comparable healthcare environment.
- At least two years of leadership, supervisory, practice management, or operational management experience.
- Demonstrated success improving workflows, implementing operational changes, and driving process improvements.
- Experience leading teams through organizational change while establishing clear performance expectations and accountability.
- Strong analytical, organizational, communication, and problem-solving skills.
- Proficiency using electronic health records and healthcare technology systems.
- Ability to travel between multiple practice locations as operational needs require.
Preferred Qualifications
- Experience in primary care, family medicine, internal medicine, or other outpatient medical practices.
- Experience using an electronic health record platform.
- Background in Lean, continuous improvement, workflow redesign, or operational excellence initiatives.
- Associate's or Bachelor's degree in Healthcare Administration, Business Administration, Operations Management, or a related field.
