Job Summary:

The Practice Manager is responsible for leading and managing medical practice operations by maintaining office systems and supervising staff. The Practice Manager must maintain knowledge of organization policies, procedures, and systems and utilize skills in planning, organizing, delegating, and supervising. They must work effectively with physicians, staff, patients, the public, and external agencies to maintain operational efficiency.

Responsibilities:

  1. Implement goals, objectives, policies, procedures, and systems for the medical practice.
  2. Develop standards and provide systems to monitor and evaluate physician office functions and assume responsibility for designing methods to improve functions.
  3. Practice effective problem identification and resolution skills as a method for sound decision-making.
  4. Understand and participate in the quality improvement process and develop a medical practice monitoring system to assure quality.
  5. Develop and implement efficient systems to enhance patient satisfaction and provider productivity.
  6. Determine and demonstrate effective communication methods and define appropriate lines of authority for the medical office in keeping with administrative structure. Use all methods of communication to disseminate information to staff in a timely manner.
  7. Develop plans to market the organization to new patient populations and/or demographic areas.
  8. Coordinate facility and equipment maintenance and other vendor services.
  9. Ensure compliance with legal issues in all aspects of operations to meet regulatory standards and uphold customer rights.
  10. Develop and maintain systems to select and hire candidates for various roles in the medical office.
  11. Monitor performance regularly and conduct annual performance evaluations on all staff.
  12. Address performance and disciplinary issues as necessary.
  13. Develop and monitor standards to comply with safety, infection control, and customer relations standards.
  14. Maintain a professional appearance and a clean, safe environment.
  15. Respect patients by recognizing their rights and maintaining confidentiality.
  16. Utilize technology, including specialized software, to maximize productivity.
  17. Perform word processing, create Excel spreadsheets and PowerPoint presentations, and prepare reports.
  18. Develop and maintain electronic files as necessary.
  19. Prioritize and manage multiple projects simultaneously; research and compile supporting materials; follow through on issues promptly.
  20. Exhibit excellent interpersonal skills; provide customer service; assist other support staff; collaborate with internal leadership, management, staff, and external parties.

Qualifications/Requirements:

Experience: Minimum of 3 years' experience in an administrative role in a medical practice, including at least 1 year in a supervisory role.

Education: High school diploma or equivalent required; a four-year degree from an accredited institution is preferred.

Licenses / Certifications: Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
