Job summary

The role requires 2–3 years of office experience, proficiency in Microsoft Office, and EPIC system knowledge.

As a vital member of our clinical operations team, you’ll provide administrative support to ensure our practice runs smoothly and efficiently. In this dynamic, fast-paced role, you’ll be the friendly face that plays a key role in creating a positive, efficient, and compassionate environment for both patients and clinical staff. The Practice Assistant II supports efficient practice operations by providing administrative and patient-facing support under general supervision. Responsibilities include scheduling, check-in/check-out, patient communication, and office coordination. Duties may vary by department.

What You’ll Do
  • Schedule patient appointments and maintain appointment records.
  • Greet and assist patients and respond to routine inquiries.
  • Manage phone calls, appointment scheduling, and message routing.
  • Process billing forms and scan documents into EPIC.
  • Request medical records and laboratory results.
  • Distribute mail and faxes and prepare routine correspondence.
  • Collect patient co-payments as needed.
  • Handle messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Serve as an EPIC Super User for scheduling, registration, and billing systems (training provided).
  • Assist with training staff and perform advanced scheduling functions, including surgical scheduling and schedule management, as needed.
Qualifications
  • Education: High School Diploma or equivalent required
  • Experience: 2-3 years of office experience required
  • Knowledge, Skills & Abilities: Proficiency with Microsoft Office and standard office equipment.
  • Knowledge of office operations and administrative procedures.
  • Strong phone, customer service, verbal, and written communication skills.
  • Ability to manage multiple priorities and maintain accuracy in a fast-paced environment.
  • Excellent organizational and time-management skills.
  • Ability to follow established processes and work effectively within a team.
