Job summary

SunState Medical Specialists (SMS) in Florida, part of OneOncology, is seeking a skilled Practice Administrator to oversee daily operations of clinical and administrative departments. You will supervise staff, manage facilities, and maintain physician records while ensuring regulatory compliance.

The role emphasizes building relationships with referring physicians, coordinating credentialing, and improving office efficiency to deliver high-quality, affordable care across the state.

Qualifications

  • 5+ years’ experience in medical office management including staff supervision.
  • Bachelor’s degree in Healthcare Administration or related discipline strongly preferred.
  • Strong understanding of code capturing as it relates to overall financials of practice

Responsibilities

  • Carries out supervisory responsibilities in accordance with established company policies and procedures, including interviewing, training, directing work, and performance appraisal.
  • Promotes practice development by establishing relationships with referring physician offices and local organizations.
  • Assumes responsibility for day-to-day facilities issues and maintains physician records in compliance with licensing requirements.
  • Coordinates managed care credentialing and prepares documentation for physician hospital credentialing.
  • Keeps abreast of regulations regarding PPOs, HMOs, Medicare and communicates information to staff; supports billing and collections.

Manages personnel and directs, supervises and coordinates the overall operation of clinical and administrative departments.ESSENTIAL DUTIES AND RESPONSIBILITIES:Carries out supervisory responsibilities in accordance with established company policies and procedures to include interviewing, hiring, providing training and guidance, directing work, maintaining attendance records, appraising performance, taking disciplinary action and recommending terminationPromotes practice development by establishing relationships with referring physician offices, networking, and participating in appropriate business, charitable and other local organizationsAssumes responsibility for day-to-day facilities issuesMaintains all physician records and ensures compliance with licensing requirementsPrepares documentation for physician hospital credentialingCoordinates managed care credentialingKeeps abreast of new or changing regulations regarding PPOs, HMOs, Medicare and other contracted plans and communicates information to all staff membersCoordinates collection of patient balances and assist centralized billing and collection departments in obtaining documentation for insurance collectionsPrepares monthly and quarterly quality assurance reports for code capture accuracy and completeness, in an accurate and timely mannerReviews charges and cash receipts for variations and patternsConducts spot audits to ensure compliance with established policies and proceduresCommunicates with hospital billing departmentsProvides or obtains coverage for absencesPerforms additional management and administrative duties as neededQUALIFICATION REQUIREMENTS:Excellent organizational and interpersonal skillsAbility to use various computer systems and applicationsAbility to exercise initiative, sound judgment and problem-solving techniques in the decision-making processEDUCATION AND/OR EXPERIENCE:5+ years’ experience in medical office management including staff supervisionBachelor’s degree in Healthcare Administration or related discipline strongly preferredStrong understanding of code capturing as it relates to overall financials of practice(s)CONFIDENTIAL AND SENSITIVE INFORMATION:Must properly control the release of proprietary and confidential information
